Hollins University in Roanoke, Virginia is seeking qualified candidates for an Assistant Registrar.
About the Role
The Assistant Registrar plays a vital role in ensuring the accuracy, integrity, and security of student academic records and serves as the Registrar’s Office liaison for system-related tasks including registration, class scheduling, curriculum maintenance, data reports, data entry, and degree conferral. Reporting to the University Registrar and working with the Registrar Specialist, the successful candidate will be a collaborative, detail-oriented professional who combines strong technical aptitude with a commitment to excellent service for students, faculty, and staff.
Specific duties include the following:
- Assist with managing the daily operations of the Registrar’s Office, supporting high standards of accuracy, efficiency, and customer service.
- Maintain the integrity of student records and ensure compliance with FERPA and related privacy laws.
- Serve as a resource to students, faculty, staff, alumni, parents, and the public regarding student record information, retention, processes, and procedures.
- Test and implement system updates in Ellucian Banner, troubleshoot data and system issues, and develop training resources for campus users.
- Develop and manage reports using BI/Orbit and other reporting tools, establish data standards, and provide training on report use.
- Audit, clean, and freeze data to support mandatory reporting and student success.
- Prepare and submit official institutional and regulatory reports including SCHEV (State Council of Higher Education) and National Student Clearinghouse submissions.
- Fulfill data requests from faculty, staff, and external parties.
- Serve as a School Certifying Official for Veterans Administration benefits, ensuring compliance with VA and state approving agency regulations.
- Support registration, records, and graduation processes including term set up and closure, catalog data and schedule maintenance and publication, course setup, new and returning student processes, transfer course articulation, student changes of status, study-abroad processes, grade processes, and degree audits and conferrals.
- Collaborate with campus partners in Admission, Student Success, Financial Aid, Business Office, Study Abroad, Career Development, and other areas to support students, ensure data consistency, and facilitate smooth workflows.
Position Qualifications
Successful applicants must have the following qualifications and experience:
- Bachelor’s degree.
- Minimum of three years of experience in higher education, preferably in a registrar’s office or student information systems environment.
- Proficiency in student information systems, reporting tools (e.g., BI Query, Orbit, Argos), and Microsoft Office.
- Knowledge of FERPA, data integrity, and records management best practices.
- Excellent detail, accuracy, analytical, organizational, communication, and customer service skills.
- Strong problem-solving and critical thinking skills.
- Demonstrated organizational and planning skills to set priorities and meet deadlines.
- Abilities to work effectively independently and collaboratively in a fast-paced environment.
- Abilities to use discretion, maintain confidentiality, and exhibit a high degree of professionalism and responsiveness in daily interactions with a broad range of stakeholders.
Preferred candidates will have the following:
- Master’s degree.
- Experience with Ellucian Banner, degree audit systems (e.g., Stellic), electronic transcript services (e.g., Parchment), and related state/federal reporting.
- Familiarity with Transfer Virginia initiatives and higher education compliance standards.
