Assistant to the Executive Director
The W. P. Carey School of Business, Undergraduate Programs Office, is looking for a professional who can use discretion and judgment in assisting the Executive Director with the administrative support necessary to implement strategic plans. This position is vital in providing administrative support and managing special projects. The role ensures efficient coordination of student service teams, supports academic success initiatives, and bolsters engagement across undergraduate programs.
Days and Schedule: Monday-Friday 8:00 AM to 5:00 PM. Some evenings and weekends will be required.
Position Salary Range: $44,100 - $48,000; to commensurate with education and experience
Essential Duties:
- Manages the Executive Director’s daily business affairs and calendar
- Manages a small level of expense budgets
- Schedules meetings on behalf of the Executive Director
- Serves as liaison to various administrative offices
- Coordinates travel arrangements
- Compiles and prepares confidential and sensitive materials
- Transcribes meeting minutes
- Manages curriculum proposals and processes at the college level
- Coordinates projects and special events
- Performs special assignments as directed by the Executive Director
- Support Executive Director with research, letters of recommendation, correspondence, PowerPoints, etc.
- Large facility support (such as strategy to consolidate offices for a remote working calendar)
- Budget support
- AI hearing support (setting up committee meetings with faculty)
- Program review meeting scheduling support (setting up external meetings with faculty across ASU)

- Knowledge of supervisory principles and practices
- Skill in developing and maintaining effective working relationships
- Skill in problem solving and decision-making
- Ability to stimulate changes in individual, institutional, and corporate behaviors to create a more sustainable environment
- Ability to lead by example in communicating, participating and encouraging support of the institution’s sustainability programs
- Knowledge of budget management methods and techniques
- Knowledge of marketing and sales techniques
- Experience using organization, detailed-oriented skills while prioritizing multiple tasks in a fast-paced, service-focused, team-based environment
- Demonstrated use of effective verbal and written communication skills
- Skill in designing presentation materials with an understanding of the audience
- Knowledge of Microsoft Office applications including email, spreadsheet, presentations and documents
- Experience in coordinating events, program management and using assessments to measure the effectiveness of programs and services
- Ability to work effectively in an environment subject to tight deadlines and potentially conflicting priorities
Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities that may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. This position requires significant evening and weekend work.
