Position Summary: Reporting to the Vice President for Enrollment Management (VPEM), the Assistant Vice President for Enrollment Operations and Special Projects leads the strategic and operational infrastructure that supports SFBU's admissions and enrollment efforts. This role oversees the Enrollment Operations Manager and is responsible for assessing current practices, optimizing Salesforce usage, and creating scalable, student-centered processes that guide applicants through a seamless admissions journey. The AVP also manages high-impact special projects assigned by the VPEM, including initiatives like MBA+ and other cross-functional enrollment priorities.

This is an exempt, full-time position located in Fremont, CA, with eligibility for a hybrid schedule of up to two days per month.

Essential Duties and Responsibilities:

  • Oversee the Enrollment Operations Manager and ensure alignment between operational practices and strategic enrollment goals.
  • Lead the assessment and continuous improvement of admissions operations, including workflows, training, and documentation.
  • Serve as the strategic lead for Salesforce optimization, including system configuration, automation, discrepancy reporting, and dashboard development.
  • Create and implement professional best practices for data integrity, counselor activity tracking, and application processing.
  • Develop and maintain reporting tools that provide actionable insights into funnel health, conversion rates, and student engagement.
  • Develop the strategy and analytical frameworks for territory management and recruitment events within the CRM to assess market penetration, counselor performance, and event ROI.
  • Design and deliver ongoing training for enrollment staff on systems, service standards, and compliance protocols.
  • Lead special projects assigned by the VPEM, including MBA+ and other strategic initiatives that span departments and impact the student experience.
  • Collaborate with IT, Marketing, Financial Aid, and Academic Affairs to ensure accuracy across all public-facing application systems and cross-functional alignment and data consistency.
  • Champion a high-touch, barrier-free enrollment experience that reflects SFBU's commitment to equity, transparency, and personalized support.
  • Monitor compliance with institutional, state, and federal regulations related to admissions and student data.
  • Contribute to strategic planning, forecasting, and institutional reporting in partnership with the VPEM.
  • Provide strategic oversight for annual updates to external admissions platforms (e.g., Common App, Niche), ensuring alignment with institutional priorities and messaging.
  • Monitor platform performance and applicant engagement trends to inform future updates and enhancements.

Minimum Qualifications:

  • Bachelor's degree in education, business, or a related field.
  • Minimum of 7 years of progressively responsible experience in enrollment management, admissions operations, or higher education systems leadership.
  • Proven success in leading cross-functional teams and managing complex projects.
  • Extensive experience with Salesforce CRM, including report building, dashboard creation, and workflow optimization.
  • Strong background in data analysis, compliance, and process improvement.
  • Demonstrated ability to lead change, improve systems, and enhance service delivery.
  • Experience working with diverse student populations and a commitment to equity and inclusion.
  • Ability to work evenings and weekends as needed to support enrollment cycles and strategic initiatives.

Knowledge, Skills, and Abilities:

  • Master's degree preferred.
  • Strategic thinking and systems-level leadership.
  • Deep expertise in Salesforce administration and optimization.
  • Strong analytical and problem-solving skills, with the ability to translate data into actionable strategy.
  • Excellent communication and interpersonal skills, with the ability to engage stakeholders across departments.
  • Project management experience, including planning, execution, and evaluation.
  • Commitment to continuous improvement and operational excellence.
  • Understanding of student-centered design and service-oriented admissions practices.
  • Familiarity with FERPA and other data privacy regulations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Salary Range: $160,000-$190,000, commensurate with experience.

Work Environment & Physical Demands: Physical demands include lifting limits (20 lbs), bending, sitting, driving, and occasionally standing for long periods. Job duties are typically performed in an office environment.
