Associate Registrar
Rutgers, The State University of New Jersey, is seeking an Associate Registrar for the Office of Student Affairs at the New Jersey Medical School.
The Associate Registrar manages and administers core registrar operations at NJMS in support of the Office of Student Affairs. This role supports the integrity, accuracy, and confidentiality of student academic records in accordance with institutional policies and federal regulations, including FERPA. The Associate Registrar oversees registration and enrollment processes; supports implementation of academic policies, manages student status tracking and graduation certification, prepares required accreditation and regulatory reports, and supervises registrar staff to ensure efficient, compliant, and student-centered service delivery.
Among the key duties of this position are the following:
- Manages registration, promotion, and student status change processes within the Banner student information system, ensuring accuracy and compliance.
- Supports the implementation and administration of the registration and scheduling procedures, including coordination of third-year clerkship assignments and fourth-year courses and electives.
- Ensures adherence to the academic calendar and established institutional deadlines.
- Processes and certifies required documentation for USMLE, ERAS, VSLO, and NBME.
- Supervises staff responsible for enrollment certification, degree verifications, and visiting student registration; review verifications for accuracy and timeliness. Recommends the hiring, firing, promoting, demoting, performance evaluations, transfers and/or disciplining of employees, as well as other personnel actions according to University policies and procedures.
- Maintains the processing of evaluations, grade rosters, and visiting student applications, ensuring compliance with institutional policies governing visiting rotators.
- Conducts graduation audits, certifies degree completion, and coordinates degree posting processes.
Minimum Education and Experience:
- Bachelor's Degree, in a related field required.
- Plus, a minimum of three (3) years of relevant experience in a higher education, registrar operations, or academic records management is required.
- One (1) year of prior supervisory or management experience is required.
Physical Demands and Work Environment:
- Physical Demands: Standing, sitting, walking, talking and hearing. No special vision requirements. Must be able to lift or exert force up to ten (10) pounds.
- Work Environment: Office environment. Moderate noise.
