The South Carolina APEX Accelerator is seeking to hire a Business Administrative Manager to join our team. As a team member within the SC APEX, the Business Administrative Manager serves a key role in implementing the SC APEX grant objectives. Supports the APEX team with tracking and measurement for the PTAC as it supports clients in becoming contractors with the federal government. Reporting to the Program Manager, the Business Administrative Manager leads the administrative functions of the program including reporting and monitoring client metrics. Additionally, this position will support workshop planning and implementation. This is a grant-funded position subject to ongoing yearly grant renewal. The Business Administrative Manager is part of a small but important office essential to the economic growth of South Carolina companies. This position requires experience working in a fast-paced, goal-oriented environment.

Job Related Minimum Required Education and Experience

Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Knowledge/Skills/Abilities

  • Knowledge of policies, procedures, rules, and regulations related to the specific administrative function.
  • Knowledge of governmental fiscal and personnel procedures, practices, and policies. Knowledge of modern office practices, procedures, and equipment.
  • Ability to coordinate diverse administrative functions.
  • Ability to establish and maintain effective working relationships.
  • Ability to communicate effectively.
  • Ability to multitask and remain organized.

Job Duties

  • In partnership with the Program Manager and APEX Manager, will develop program and Counselor goals in alignment with Department of Defense (DOD) requirements. Regularly monitors programmatic and Counselor progress towards meeting or exceeding established annual metrics and thresholds. Manages relationships between Counselors and clients. Advises clients on available government contracting opportunities (i.e. processing SAM.GOV registration, socio-economic certification applications, and marketing to government and prime contractors). Facilitates the intake process for new clients. Processes weekly, monthly, quarterly, and annual reports for client usage and DOD requirements. Maintains and updates standard operating procedures for all programmatic requirements. Serves as the primary point of contact for internal/external stakeholders.   • Serves as administrator and subject matter expert for CRM database. Trains staff on CRM system. Maintains and updates standard operating procedures for CRM system. Monitors counseling data logs and produces relevant reports in the CRM system weekly. (Essential Function: Yes, Percentage of Time: 20)
  • Partners with the Program Manager in developing and monitoring budget goals. Facilitate all purchases, track budget expenses, and reconcile all APEX accounts. Efficiently manage all purchase processes, ensuring a seamless transaction experience. Track and manage budgetary expenses with attention to detail, providing comprehensive financial oversight for program dollars. Reconcile all APEX accounts, maintaining accuracy in financial records following DOD requirements. (Essential Function: Yes, Percentage of Time: 20)
  • Assists the Program Manager with daily operation functions of the office. Responsible for managing the office calendar and scheduling meetings. Facilitates routine staff meetings and provides meeting summaries. Responsible for planning, coordinating, and hosting program outreach and related events. Aids the Program Manager in building, fostering, and maintaining effective relationships with external stakeholders to support organizational goals and program initiatives.   • Continuous, self-driven education for best practices and sharing with team members to improve SC APEX’s efficacy. This could include travel to conferences and workshops where appropriate. Accepts and performs all other duties assigned. (Essential Function: Yes, Percentage of Time: 5)
