Description of Job Duties and Responsibilities
The Coordinator for Administrative Operations in the College of Nursing provides comprehensive administrative and operational support to ensure the smooth functioning of academic, clinical, and administrative activities. This position supports the Dean, Department Chairs, faculty, and staff by managing academic and operational processes, coordinating reporting requirements, and serving as a central resource for communication and organizational efficiency.
- Maintain classroom and lab schedule.
- Assist with collection and management of data for ACEN, CCNE, WV Board of Nursing and other nursing constitutes.
- Assist with maintenance of the Master Plan of Evaluation for all programs.
- Coordinate completion and submission of institutional and external reports.
- Schedule School, program and subcommittee meetings (Via WebEx or other mechanism) as needed; prepare meeting minutes in a timely fashion; disseminate correspondence, and maintain a database of all past minutes. Prepare and collect documents and material for meetings.
- Formulate and recommend professional support processes designed to maximize efficiency and effectiveness of the administrative support to the Dean and Department Chairs (i.e. travel arrangements and reimbursements, special projects, coordinate college events), screens and determines routing of sensitive and confidential phone calls, mail, and visitors to the Dean’s Office.
- Perform high level of support tasks (i.e. corresponds on behalf of the Dean) that are confidential and sensitive in nature as well as provides leadership in solving routine and general office issues.
- Manage records in Kronos, Banner, Oasis and the College of Nursing drives.
- Provide support for establishment and maintenance of clinical agency contracts.
- Assist with ordering and implementing standardized testing program.
- Maintain student electronic files.
- Assist with administration of clinical tracker systems.
- Assist with the admission process of ASN and BSN students.
- Maintain and revise nursing student handbook and other handbooks as needed.
- Assist the Dean and/or Department Chair(s) in preparing/updating teaching schedules.
- Oversee the coordination of all College special events (logistics, scheduling, event notifications, program development, etc.).
- Assist with development and submission of grants.
- Coordinate updating program marketing materials and academic maps.
- Maintain the College of Nursing website.
- Monitor the College of Nursing e-mail.
- Maintain office budgets, generate and check requisitions, purchase orders, reimbursements, and reconciliation of department purchase card.
- Evaluate effectiveness of financial and administrative operations and makes recommendations and/or takes corrective action when necessary.
- Assist in updating a list of State Board of Nursing licensure requirements as required by the U.S. Department of Education Regulation 34 CFR 668.43 (a) (5) (v).
- Coordinates administrative operations within the College of Nursing.
- Other duties as assigned.
Minimum Required Education
Bachelor of Science, Business or related field
