Career Services Specialist

PRIMARY PURPOSE

The Career Services Specialist within the Law School Career Services Department reports directly to the Assistant Dean of Career and Professional Development. This role is primarily responsible for providing career programming and services to J.D., LLM, and MSL students, including organizing virtual and in-person career events, managing employer outreach, maintaining career resources, and managing data using career software and office tools. The ideal candidate will possess strong interpersonal, organizational, and technological skills, along with the ability to manage multiple tasks and work collaboratively. To be successful in this position, the individual must excel at building and maintaining relationships with students, alumni, employers, and colleagues, managing time effectively, and promoting career services in both a professional and inclusive manner.

This position is represented by the Lewis & Clark College Support Staff Association Local 4912 of the American Federation of LCCSSA Collective Bargaining Agreement.

ESSENTIAL DUTIES

Career Program Coordination

  • Plan and execute virtual and in-person career events, including career fairs, workshops, and alumni speaker programs.
  • Coordinate logistics for career programming, including event registrations, employer and speaker invitations, and promotional efforts.
  • Update and maintain career resources and content across platforms such as the website and career database.
  • Promote career workshops, job postings, and events via social media, career database, and email.

Employer Outreach and Relationship Management

  • Cultivate and enhance relationships with current employers, alumni, and potential employers to expand student and alumni job opportunities.
  • Assist with employer outreach, including researching and engaging new employers for recruitment events.
  • Support ongoing employer development programs to strengthen long-term relationships.

Data and Information Management

  • Manage and update student, alumni, and employer information in the career center system (e.g., Career Services Software, Microsoft Office Suite, Google Suite).
  • Source and post job opportunities in the career center system and monitor job posting accuracy.
  • Analyze survey data and other metrics to assess and improve office services and programming.

Student and Alumni Support

  • Provide guidance to students and alumni regarding career services, job search strategies, and application processes.
  • Answer inquiries from students, alumni, and employers via email, phone, and in-person interactions.
  • Facilitate appointment scheduling and ensure seamless communication between students and career advisors.

Administrative Support

  • Manage office inbox and phone, ensuring prompt and professional communication while addressing cybersecurity risks.
  • Support event preparation, including setting up logistics, coordinating registrations, and assisting during events.
  • Perform general administrative tasks, including filing, document management, and maintaining updated records.

KNOWLEDGE, SKILLS, ABILITIES, & BEHAVIORS

  • Proficient in career services software (e.g., Career Services Software, Microsoft Office Suite, Google Suite) for data management, event planning, and communication.
  • Excellent understanding of legal recruitment processes and trends within the legal profession, particularly in higher education settings.
  • Superior knowledge of event planning and management, with the ability to coordinate large-scale career fairs, workshops, and employer engagement activities.
  • Extremely knowledgeable in utilizing data and metrics to assess and improve career services, including surveying and analyzing feedback to refine programming and resources.
  • Excellent interpersonal communication skills, with the ability to engage and build relationships with students, alumni, employers, and faculty from diverse backgrounds.
  • Superior organizational skills, enabling effective time management, task prioritization, and successful execution of multiple programs and events simultaneously.
  • Proficient in Microsoft Office Suite, Google Suite, and video event management platforms (e.g., Zoom, Google Meet), ensuring smooth operation of digital career events and data management.
  • Excellent technical skills, including experience with website management, data tracking systems, and basic HTML, to maintain career resources and student records online.
  • Communicate effectively with a diverse population, demonstrating inclusivity and empathy in interactions with individuals from varied cultural, socioeconomic, and professional backgrounds.
  • Manage and prioritize multiple tasks efficiently, especially under pressure, to meet deadlines and ensure the success of career services and programming.
  • Develop and execute marketing strategies for career services programming, ensuring clear and compelling communication across various platforms (social media, email, websites).
  • Cultivate and sustain professional relationships with employers, alumni, and other stakeholders, ensuring ongoing collaboration and job opportunities for students and graduates.
  • Demonstrate a commitment to inclusion and diversity in the workplace by actively promoting equitable practices, ensuring all students, alumni, and employers feel valued and supported.
  • Exhibit a proactive, solution-oriented mindset, anticipating needs and addressing challenges with professionalism and a positive attitude.
  • Work collaboratively within a team environment, maintaining a flexible approach and contributing to shared goals while respecting diverse perspectives.
  • Maintain a high level of professionalism, especially when dealing with sensitive information, managing multiple priorities, and handling inquiries from diverse constituents.

REQUIRED EDUCATION / EXPERIENCE

  • Bachelor's degree in a related field (e.g., law, business, communications, human resources, or education).
  • Two years of experience in career services, event planning, or legal recruiting, with demonstrated responsibility for managing career-related events or programs.
  • Experience working directly with students and employers in a professional setting, preferably in a career services or similar role. Demonstrated proficiency in managing data, tracking systems, and communication with diverse populations.

PREFERRED EDUCATION / EXPERIENCE

  • Master's degree in a related field (e.g., higher education administration, business, law, or communications).
  • Experience working in higher education settings, specifically within a law school or academic institution, and familiarity with the career development needs of law students and graduates.
  • Experience with legal recruiting or a demonstrated understanding of legal hiring trends and processes, including familiarity with employer outreach and relationship management.
  • Preferred Tech: Career Services Software (e.g., 12Twenty), Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite (Docs, Sheets, Drive, Gmail), Video Event Management Tools (e.g., Zoom, Google Meet).
