Casual Client Liaison Assistant
About This Opportunity
We’re looking for a motivated and customer-focused Casual Client Liaison Assistant to support the Small Animal and Equine Specialist Hospitals at Gatton.
In this casual role, you’ll be the first point of contact for referring veterinarians, clinic clients, students, and staff, helping to ensure the smooth day-to-day operation of our specialist veterinary hospitals.
Key responsibilities will include:
- Providing high-quality customer service to referring veterinarians, clinic clients, students, and staff, and acting as the first point of contact for the hospitals
- Managing appointments, client and patient records, invoicing, and payments using the veterinary practice management system
- Supporting hospital operations through general administrative tasks, documentation management, and maintaining a welcoming reception and waiting area
- Assisting veterinarians and staff by promptly identifying biosecurity or infection control concerns and contributing to continuous improvement of administrative processes
About You
- Completion of a diploma-level qualification in Business or related field with relevant work experience; or an equivalent combination of relevant experience and/or education/training.
- Previous experience working in a busy reception environment.
- Demonstrated ability to provide a high standard of customer and administrative support.
- Ability to establish and maintain productive working relationships with key stakeholders and clients, ensuring service delivery meets key requirements.
- Ability to communicate effectively with staff, referring Veterinarians and clients by telephone, email and face to face.
- Ability to work with initiative and provide quality client service.
- Demonstrated ability to effectively maintain filing systems, databases and other office systems.
- Demonstrated ability to work effectively, both independently and as part of a team.
- A sound knowledge and proficiency in the use of business management software, in particular, the Microsoft Office Suite (Word and Excel), and the ability to rapidly acquire skills in the use of the Practice management system.
- High level of accuracy with attention to detail.
- Knowledge or ability to acquire knowledge quickly of biosecurity concerns in a teaching environment.
- Commitment to working as a member of the Clinic’s administrative team.
- Sensitivity to confidentiality and privacy issues associated with the Hospital, Clinics and Diagnostic labs.
- Ability to learn and respond to the changing needs of the Clinic.
