Clinical Placement Coordinator - Physician Assistant Program
Job Summary
The Clinical Placement Coordinator is part of the clinical team that serves the Graduate Physician Assistant program. This position is responsible for maintaining compliance administrative functions for PA clinical rotations under the direction and supervision of the Clinical Coordinators. This includes compliance records for students for clinical rotations, compliance records from clinical sites and preceptors and data required for PA program accreditation. This position also maintains the budget for payment of clinical site fees.
Essential Job Functions & Responsibilities
- Oversees student and clinical faculty compliance for clinical placements
- Researches and recommends the procurement of new clinical sites
- Collects and organizes data related to the maintenance of clinical year activities for accreditation compliance
- Acts as liaison between the PA program and the clinical sites such as notifying clinical sites of upcoming students and program requirements
- Creates and maintains confidential student demographic records that include name, contact information, and emergency contact information
- Verifies and maintains all required documents for each second-year student for compliance with accreditation requirements
- Transmits required student documentation to each clinical site at the commencement of each clinical rotation
- Collects and organizes documents received per student for each rotation
- Establishes ongoing communication with new clinical sites procured by program clinical coordinators
- Tracks the completion of clinical site documentation including affiliation agreements
- Communicates with students regarding missing required documentation
- Organizes and maintains documents for out-of-state clinical rotation sites
- Collaborates with Clinical Coordinators and clinical sites regarding clinical placement requests
- Reviews and compiles written evaluations of clinical placements in consultation with clinical coordinators
- Coordinates and maintains records of seven different end-of-rotation exams per rotation to ensure accreditation compliance
- Coordinates materials needed for clinical callback session
- Keeps all records related to compliance in tracking software and inspects documents for errors
- Collects appropriate information used to establish improvement benchmarks/metrics
- Attends and participates in the Physician Assistant Clinical Team regular meetings
- Maintains and updates extensive clinical sites contact lists
- Replies to all inquiries and general information requests with the accurate information
- Organizes and schedules meetings and appointments
- Orders all medical supplies for faculty, didactic, and clinical year students
- Budgets, tracks and processes invoices for payments to clinical sites
- Provides general support to students, faculty, and administrators
Required Skills & Experience
- Strong interpersonal skills with students and clinical partners
- Flexibility and team skills that are critical to the efficient workflow
- Strong solution-oriented approach to problems that arise
- Ability to work collaboratively and independently with diverse group of peers, faculty, and supervisors in the School and University is essential
- Three or more years of management experience, preferably in a Physician Assistant educational program or similar operation
- Demonstrated leadership, interpersonal, written, and oral communication, problem-solving, and organizational skills
- Ability to work in a fast-paced environment and juggle multiple tasks
- Demonstrated evidence of detail-orientation, customer service orientation, and ability to work independently
- Computer proficiency in MS Office, Outlook, Excel, and the Internet required

Bachelor's degree required
Physical/Other Requirements
Must be able to push, pull, move or lift up to 50 lbs. Must be able to meet all general health requirements for the position as per university policies
