GENERAL DUTIES
Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration. There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as needed. Maximum tenure for any employee in this hourly position is 1040 hours per year.
- Performs routine clerical work; may answer and attend to telephone calls; maintain records, operate office machines (such as copier), sort and distribute mail, issue keys and identity cards, act as messenger, and perform related tasks as required.
- Types letters, memoranda, charts, and similar materials.
- Acts as cashier.
- Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
- Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
- Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
- Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
- May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Office of Graduate Programs is seeking a dedicated and student-focused individual to join our Graduate Advising team. This role supports the academic success and engagement of students enrolled in Zicklin’s online graduate degree programs. The ideal candidate will be proactive, detail-oriented, organized, and passionate about student support in a virtual learning environment. Reports to the Associate Director of Graduate Online Programs.
Duties Responsibilities will include, but are not limited to:
Communication & Support
- Respond to email and phone inquiries from prospective and current graduate students, administration, and faculty in a timely and professional manner.
- Provide accurate information regarding program requirements, registration, and academic policies.
Advising & Registration
- Assist with individual and small group advising sessions via Zoom.
- Assist students with course selection and registration processes.
- Maintain accurate advising records and follow up on student concerns.
Academic Evaluation
- Review and evaluate incoming student transcripts to determine eligibility for course waivers.
- Enter approved course waivers and permissions into electronic system.
- Collaborate with Associate Director to ensure accurate placement and advising.
Resource Development
- Create, update, and maintain advising materials, guides, spreadsheets and websites tailored to online students.
- Contribute to the development of onboarding and orientation content.
Student Engagement
- Plan and participate in virtual and on-campus events to foster community among online students.
- Support initiatives that enhance student belonging and academic success.
MINIMUM QUALIFICATIONS
Must demonstrate sufficient skills to perform the duties of the assigned tasks.
OTHER QUALIFICATIONS
Preferred Qualifications:
- Experience in academic advising, student services, or higher education administration.
- Understanding the unique needs of online learners.
- Enthusiastic team player with a student-centered approach.
- Familiarity with student information systems (e.g., CUNYFirst, EAB Navigate) and virtual communication tools (e.g., Zoom, Microsoft Teams)
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple tasks efficiently.
- Technical proficiency in Microsoft Office (Word, PowerPoint, Excel, and Outlook), other social media platforms, and web-based communications.
COMPENSATION
$21.00- $24.00 hourly
BENEFITS
CUNY offers a comprehensive benefits package to employees and eligible dependents based on job title and classification. Employees are also offered pension and Tax-Deferred Savings Plans. Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
