Trinity Washington University seeks a dynamic Student Advisor & Program Coordinator. This position has two components, Student Advisor and Program Coordinator, and is a great opportunity for an experienced advisor who is ready to take on greater responsibility:

Student Advisor

The School of Education provides a case management approach to student retention and success. In collaboration with faculty advisors, the successful candidate will support timely student registration and support student success. This person in this role is responsible for intake advising and advising all graduate students in the School of Education as well as undergraduate students in the College of Arts and Sciences with a declared Education major.

Program Coordinator

The person in this role will manage School of Education meetings and events. They will assist the Assistant Dean with the coordination of field and student teaching placements and assist students with navigating licensure and certification requirements. They will coordinate the data collection/management, documentation, and reporting necessary for both internal and external purposes, including accreditation and program approval.

Qualifications:

  • Master’s Degree required.
  • Minimum of 1-2 years of progressive academic advising experience at a college or university setting.
  • Skill with data collection, database management, and data reporting.
  • Experience working with adult learners preferred.
  • Previous experience in the education sector a plus.

Responsibilities & Functions:

Responsibilities include, but not limited to:

Intake & Registration:

  • Review transcripts for incoming students to identify, in consultation with the Dean, appropriate courses and apply transfer credits.
  • Work with Admissions to provide smooth transition into Trinity for new students.
  • Be first contact for students at pre-enrollment intake.
  • Complete intake questionnaire to help identify necessary student supports.
  • Assist students with course registration.

Student Support:

  • Oversee each advisee’s Academic Plan for successful and timely program graduation.
  • Meet with students at least once a semester in addition to registration time to review Academic Plan progress and to make necessary adjustments.
  • Communicate with School of Education leadership team as well as other key offices (e.g. Enrollment services) to address student issues in a timely manner.
  • Assist students with problem solving as needed.
  • Attend Center for Student Success meetings.
  • Be readily available during hours when students are on campus; occasional evenings and/or weekend hours required.

Field and Student Teaching Placements:

  • Assist the Assistant Dean in coordinating field and student teaching placements.
  • Maintain accurate and complete student records in compliance with national, state and local laws, as well as licensing and certification requirements.

Program Support:

  • Manage School of Education meetings and events.
  • Provide support in the form of database management, reporting, data collection, and documentation as needed to support the School of Education for program review and accreditation purposes, including attending relevant meetings and keeping minutes.
  • Supervise student worker(s).
  • Assist with gathering and disseminating information of interest related to School of Education programs, including on social media platforms.
  • Assist in other School of Education initiatives and undertake special projects as requested by the Dean.

Knowledge, Skills and Abilities:

  • Understanding of various advising methodologies/theories, especially for adult students.
  • Skill with academic counseling techniques.
  • Ability to stay abreast of and interpret regulations regarding educator credentialing.
  • Transcript evaluation experience.
  • Experience understanding and applying admissions procedures.
  • Ability to explain the program and general university policies.
  • Strong records management skills.
  • Advanced proficiency in Excel and data platforms.
  • Ability to build and foster productive relationships, think creatively, and take initiative.
  • Skill in interpersonal relations and communications including tact, diplomacy, and respect to interact with diverse individuals at all levels, internally and externally.
  • High degree of organization, strong attention to detail and follow-through.
  • High level of initiative, problem solving and analytical skills.
  • Ability to monitor, manage and prioritize multiple projects simultaneously and meet deadlines.
  • Ability to work on a team, as well as working independently on projects; collaborate with other university departments.
  • Excellent oral and written communication skills.

Schedule and Work Environment:

  • 40 hours per week minimum, full-time, 12 months a year.
  • Positions at Trinity are in-person and not-remote.
  • Working weekends and evenings may be requested.
  • The work environment for student success advisors is typically an office environment that is often fast-paced.
  • Advisors must be able to work efficiently with many interruptions from walk-ins, telephone inquiries and other student requests.
  • The noise level in an advisor’s work environment is usually quiet. Advisors usually advise students in private or semi-private offices.
