Coordinator, Administrative Projects

Job Summary

Reporting to the assigned department leader, this role is responsible for organizing and coordinating all aspects of administrative projects within their supported area.

Primary Duties and Responsibilities

Essential Performance Requirements
? Completes a broad variety of administrative projects, including managing an extremely active calendar of appointments; completing expense reports and payment of invoices and contracts; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
? Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature, determines appropriate course of action, referral, or response
? Acts as the first line of contact for the supported area; receives all incoming calls and forms of correspondence for the supported area; routes them accurately and appropriately
? Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that are crucial to the smooth operation of the supported area
? Prioritizing conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
? Facilitates cross-divisional coordination and outreach to ensure the supported area has timely and accurate information regarding activities, events, initiatives, and appointments
? Conveys information to internal and external partners in a comprehensive, accurate, and effective manner
? Drafts budget reports and summaries for the supported area

Service Excellence
? Participates on behalf of the College in external community organizations and associations
? Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
? Completes all required training and professional development sessions sponsored through the Tarrant County College (TCC) Institute
? Supports the mission, values, goals, and principles of the College

Supervision
? Works under the general supervision of the assigned department leader

*Performs Other Related Tasks as Required

Required Minimum Qualifications

  • Bachelor's degree
  • Five (5) years' working experience related to the Essential Performance Requirements
  • Valid driver's license with an acceptable driving record

Preferred Qualifications

  • At least one (1) year working experience providing support to executive leadership in a higher education setting
  • At least one (1) year working experience within a community college environment, with familiarity in college operations, governance structures, and institutional processes

Knowledge, Skills and Abilities

  • Knowledge of advanced Microsoft Outlook calendar and inbox management to support senior leadership, including high-volume scheduling, prioritization of communications, and delegated workflow management
  • Skilled in excellent customer service and interpersonal relationships, including strong listening, verbal, and written communication
  • Skilled using computer applications and enterprise systems, including word processing, spreadsheet, and presentation software
  • Skilled in applying analytical and organizational techniques to improve operational efficiency, optimize processes, and anticipate the needs of leadership
  • Skilled in establishing and maintaining successful and strong relationships with individuals or organizations, by fostering productive teamwork, dynamic networking and collaboration, and flexible adaptability
  • Ability to work effectively in a collaborative environment
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
  • Ability to adaptively perform and prioritize multiple tasks and projects seamlessly, ensuring accurate and timely completion while exhibiting strong attention to detail and organization
  • Ability to anticipate emerging needs, identifying improvement opportunities, and proactively propose practical solutions to address challenges
  • Ability to assess data and provide sound recommendations based on policy, procedure, practice, and existing regulations
  • Ability to maintain a high level of diplomacy, ensuring confidentiality and discretion with sensitive and confidential information
  • Ability to work flexible hours as periodically required, which may include evenings and weekends

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment
The work environment characteristics described here are representatives of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually quiet.

Compensation Details

Starting Pay - $79,300

Work Hours

Monday-Friday 8:00 AM-5:00 PM; occasional evenings and weekends
