Director Finance & Operations
Job Description Summary
As an organization with a high proportion of revenue that comes from external funding sources, the success of the Scripps Gerontology Center depends heavily on a solid infrastructure for operations and financial management. The position of Director of Finance and Operations is essential to that infrastructure. The position carries with it significant expectations for decision-making, leadership, and commitment to the sustainability and integrity of the organization. The Director of Finance and Operations helps to ensure financial accountability for the organization, and is responsible for monitoring our financial portfolio in alignment with RCM-based budgeting, university goals, and Scripps Gerontology Center goals.
Financial Direction
- Responsible for oversight and implementation of all fiscal management, including responsibility for monitoring organizational growth and long-term fiscal sustainability.
- Responsible for monitoring the Scripps Gerontology Center organizational portfolio; manage accounts and implement practices that align with RCM-based budgeting; ensure financial accountability in decision-making at all levels (planning, allocating, and expending resources); review and assign account numbers to all expenditures; record and track expenditures; monitor monthly budget reports to ensure the organization is on track for financial sustainability; make sure donor accounts are expended in a timely manner and for appropriate expenses; monitor the LTC project expenses to ensure proper and complete spending of FY allocations; and incorporate post-project budget review for all grants.
- Responsible for financial management, including oversight of all organizational cost centers (50+) and research grants (52+ per year).
- Prepares all financial reports for the organization; summarizes and presents financial information for the organization.
- Works with principal investigators and research project staff to develop and monitor grant budgets; serves as liaison with OARS for grant submissions; completes and obtains all documentation necessary for grant submission; acts as liaison to state and national agencies regarding grant budgets and processes; and provides support to research staff with personnel processes.
Operations Management and Strategic Planning
- Participates in overall management of the organization; serves on the Leadership & Strategic Team group and the Strategic Planning Committee; conducts quarterly progress reviews; leads strategic planning, benchmarking, and tracking metrics for the organization.
- Works with Director on refinement and monitoring of organizational benchmarks in alignment with organization’s strategic plan.
- Assists the director in coordinating and facilitating the mission of the Scripps Gerontology Center via strategic and business planning.
- Responsible for management of organizational infrastructure, including space and equipment management, planning, and implementation.
- Provides assistance and oversight of hiring processes; serves on search committees for key appointments; completes appointment forms; responsible for new staff orientation; responsible for completing employee evaluations for classified and some unclassified staff.
- Oversees office operations and classified personnel, including hiring and evaluations.
- Supervises all support staff (3 classified) and student employees (4-5), shared management responsibility for unclassified staff (9-10).
- Provides ongoing assistance to the director (assists with writing and document preparation, plans meetings, keeper of confidential materials, liaison with University offices).
- Participates in the educational mission of the Scripps Gerontology Center by assisting in training and mentoring of graduate students (both in class and one on one) in budget development and external grant submission; provides administrative support to the Master’s and Doctoral-level programs by managing assistantships, travel support, and thesis and dissertation support for students.
- Management responsibility for setting and implementing new or revised organizational policies; responsible for maintaining and updating the Scripps Policy & Information manual.

Minimum Qualifications
Required: Bachelor’s degree and eight years of related experience. Consideration will be given to candidates with: Experience managing organization operations and infrastructure. Ability to effectively supervise and develop staff capacities. Ability to set agendas and lead meetings. Initiative and knowledge necessary to continuously assess and improve center policies and practices. Ability to work cooperatively and proactively with multiple offices across campus. Excellent communication skills. Knowledge of the aging network and of federal and state funders in gerontology research. Demonstrated skills in budgetary spreadsheets. Knowledge of federal and state guidelines for grants and contracts.
