Position Summary: This position oversees the office of medical education within the College of Medicine under the direct supervision of the Senior Associate Dean for Academic Affairs. This position is responsible for the administration/oversight of the curriculum management system and curricular support activities. This highly collaborative position will work as part of a team of staff, faculty, and administrators in developing, leading, and maintaining the medical education program at the CMU College of Medicine. This individual maintains a high level of competency and resourcefulness in working on complex projects and issues and provides highly innovative solutions that achieve desired curricular outcomes while establishing work processes and procedures. This individual is also responsible for reporting, internal procedures, and processes for the learning management system across all four years. This position supervises the curriculum coordinators and longitudinal curriculum coordinator.

Required Qualifications: Master’s degree in educational psychology, instructional design, adult learning, or a combination of education and related experience that equates to six years. Five years of progressively responsible experience. Three years of supervisory experience, including developing and delivering cross-functional training. Excellent written and verbal communication skills for both technical and non-technical audiences. Proficient in the use of Excel to create and manage a variety of academic and curricular databases. Strong organizational skills and the ability to set priorities, manage multiple tasks, and complete assignments with minimal supervision. Demonstrated ability to accomplish administrative assignments and projects independently, to work well as part of a team, and to exercise judgment in setting priorities. Demonstrated positive interpersonal skills. Demonstrated ability to manage multiple tasks and adapt to changing priorities. Self-starter able to work effectively and diplomatically with faculty, staff, and students under a variety of high-pressure circumstances. Ability to project a positive professional image. Ability to perform the essential functions of the position, with or without reasonable accommodation.

Preferred Qualifications: PhD or EdD. Experience drafting and implementing policy and internal operating procedures. Familiarity with project management processes. Experience in a medical school setting. Knowledge of LCME accreditation. Experience with teaching healthcare education and strong supervisory skills are desired. Ability to learn and teach a variety of software platforms and programs for the delivery and evaluation of the curriculum and the assessment of students. Possession of a broad knowledge of best practices in medical education and the training of professional students. Ability to assess situations quickly and gather needed information. Ability to prioritize multiple job demands, problem solve, and troubleshoot with minimal direct supervision.

Duties & Responsibilities: Supervises the implementation of appropriate student progress policies as directed by the Senior Associate Dean of Academic Affairs. Creates standard operating procedures based on internal policies to implement across campuses. Assists in developing and implementing appropriate policies and procedures for ensuring the accurate, secure, and confidential documentation of student performance data across campuses. Supervises staff in the office, including the Curriculum Coordinator(s) and oversees/develops the course preparation and closeout processes. Collaborates with student clerkship coordinators across all campuses to ensure seamless integration and execution of curriculum-related activities. Prioritizes work assignments through appropriate training and cross-training to ensure that the curricular management duties are completed timely and accurately, adhering to the approved policies and procedures, and ensuring a fair distribution of work. Maintains databases for overall outcomes of the courses, clerkships, and programs for the College of Medicine and the effectiveness measures for the curriculum. Develops a variety of academic data templates and reports for the Office of Medical Education (OME). Creates and maintains a timely, accurate, secure, and confidential master medical student academic records database for all students/all campuses, including program files, academic delays/progress, remediation activities/results, and institutional actions for the OME. Creates specialized reports as requested for accreditation and curriculum evaluation. Responds to requests for record compilation, reviews, and retrievals from approved administrative units, faculty, and students. Provides oversight of the design and coordination of the academic curricular calendar, including oversight and coordination of the Bridge Week schedules, and dispersed sessions. Provides administrative oversight for monthly Curriculum Committee meetings and provides backup support for the Year 1 & 2 meetings. Maintains current academic records of each enrolled student, including documents about student promotion, disciplinary action leaves of absence, withdrawals, and other changes in student status. Maintains a complete understanding of all aspects of the Medical Curriculum, Medical School Bylaws, Faculty Handbook, and related information. Responsible for Praise/Concern card collection, dissemination, and tracking. Supports LCME accreditation as directed by the Senior Associate Dean for Academic Affairs. Assists in overseeing and troubleshooting issues related to the program evaluation software, including uploading and distributing evaluations in coordination with the Director of Assessment and Evaluation. Demonstrates a commitment to diversity by working to develop a culture of inclusion and mutual respect. Serves as the key integrator within OME: operationalizes initiatives, clarifies assignments, anticipates barriers and opportunities, coordinates across teams, ensures alignment with medical school priorities and policies, and proactively seeks better ways to accomplish tasks. Oversees the implementation and management of curricular changes, ensuring alignment with Central Michigan University’s governance process and academic standards. Oversees the management and continuous improvement of the Student Intranet, including the ‘You Identified, We Responded’ site, ensuring effective communication, user engagement, and timely updates to address student needs and feedback. Oversees the management of the student Listserv, including the setup of distribution lists and the maintenance of student rosters to ensure effective communication across the college. Coordinates and oversees the scheduling of rooms for classes to ensure optimal utilization of space and alignment with academic needs across the college. Directs the management and support of classroom technology, oversees faculty training, and leads the implementation of new technological initiatives to enhance educational delivery and effectiveness across the college. Manages the application process for MD/MBA and MD/MPH students, ensuring a smooth and efficient experience for applicants. Manages the purchasing of new educational software, conducts contract reviews, and oversees the processing of invoices to ensure compliance with institutional standards and budgetary constraints. Oversees the department’s budget by monitoring expenditures, analyzing financial reports, and ensuring compliance with organizational policies. Performs other duties as assigned.
