Director of Internal Exhibitions and Events
Position Summary
Reporting to the Associate Dean of Admissions and Outreach, the Director of Internal Exhibitions and Events is responsible for researching, planning, organizing, publicizing, and managing the execution and follow-up for public events sponsored by the School held on-site, off-site, or online, as well as School-wide events as assigned by the Dean such as Commencement, Open House, Year End Show Exhibition and Exhibition Openings. Collaborates with the Dean and Associate Dean of Admissions and Outreach to conceive future event programming by developing event proposals and conducting research on relevant topics and potential program participants; supports faculty and students who are leading conferences or symposia; and creates strategies to increase public awareness of programming as well as student participation.
Responsibilities
- Oversees and administers public events sponsored by the School, including lectures, conferences, symposia, and exhibitions including the End of Year Show Exhibition Openings, as well as internal events including Open Houses, Commencement, and other school-wide events. Responsibilities include preparing research and proposals for the Dean?s review and approval as well as all event planning and administration including securing locations, technical support, and catering; speaker support including invitations, travel arrangements, accommodations, and payments; oversight of relevant vendors; promotion and production of event assets (posters, programs, etc.); on-site or online event supervision (such as facilities set up); and follow-up as needed. Manages all event-related correspondence and inquiries. (50%)
- Manages all publicity and related assets for events; generates communication strategy and manages production and dissemination of print or digital materials, manages mailing lists, updates School and University calendars, collaborates with designers to produce relevant assets, and develops tools and strategies to engage the student body. (25%)
- Collaborates with the Dean, Associate Dean of Admissions and Outreach and faculty to conceive future events and prepares research and background materials on relevant topics and potential guests. Travels to selected national and international events to oversee off-site events or cultivate potential participants in School events. Establishes and maintains relationships with University and external partners including cultural and academic institutions and community organizations. (15%)
- Responsible for maintaining financial management reporting and control systems, monitors expenses, oversees compliance with University/affiliate policies, procedures and regulations. Serves as the main point of contact with University departments and GSAPP Finance Office. (5%)
- Performs related duties and responsibilities as assigned. (5%)
Minimum Qualifications
- Bachelor?s degree required or advanced degree preferred.
- Minimum of 4-6 years of directly relevant experience required.
- Must have demonstrated ability to work well with a broad constituency and maintain discretion and diplomacy.
- Ability to handle multiple tasks and work under pressure and deadlines.
- Excellent written and verbal skills required.
