Description
The Director of Student Financial Aid and Veterans Services is responsible for overseeing and administering all state and federal financial aid programs, ensuring timely and accurate disbursement of funds to eligible students at Trinity Valley Community College. This role includes preparing federal applications, determining financial aid awards, maintaining compliance with federal, state, and Veterans Affairs (VA) regulations, and providing guidance to students and families on financial aid processes. The Director is accountable for budget preparation, record-keeping, and managing financial probation and suspension lists, all while maintaining strict confidentiality. Additionally, the Director represents the college at relevant meetings, contributes to policy development, and supports student success by ensuring access to financial resources and VA benefits.

Job Duties
RESPONSIBILITIES:
- Administer State, Federal (Title IV), and institutional student financial aid programs, including packaging, awarding, disbursing, and reconciling funds.
- Maintain compliance with federal and state regulations (e.g., Title IV, VA benefits, TEOG, Return to Title IV, SAP, TPEG).
- Maintain and manage the Title IV Participation Agreement and ensure valid participation.
- Oversee the institution’s Default Management Plan and implement prevention initiatives.
- Oversee the development of award amounts and timely disbursement of funds to student accounts while ensuring the maintenance of accurate student records.
- Prepare required federal, state, and institutional reports, including audit documentation and reviews.
- Develop, monitor, and control the annual departmental budget and student cost of attendance budgets.
- Ensure compliance with VA program requirements and provide information about financial aid and VA programs to students and parents.
- Conduct internal audits and prepare for external reviews to maintain high compliance standards.
- Collaborate with internal stakeholders-Business Office, Admissions, Foundation, Student Records-and external entities, including auditors, TEOG, DOE, VA, etc.
- Serve as a liaison to agencies (DOE, THECB) and represent the institution in professional associations (NASFAA).
- Attend relevant meetings, workshops, and seminars.
- Work assigned schedule, comply with timekeeping policy, and maintain confidentiality of information.
- Perform other duties as assigned by supervisory personnel.
SUPERVISOR RESPONSIBILITIES:
- Achieve department objectives by supervising staff and monitoring work processes.
- Recruit, select, orient, and train employees while fostering personal growth opportunities.
- Drive staff performance through coaching, counseling, and discipline.
- Plan, monitor, and appraise job performance annually, providing constructive feedback.
- Develop, maintain, update, implement, and enforce policies and procedures, ensuring alignment with evolving regulations and best practices.
- Maintain a safe and healthy work environment by adhering to organizational standards and legal regulations.
- Oversee the development of presentations and workshops for students, families, high school counselors, and other college staff.
- Complete operations by developing schedules, assigning work, gathering resources, and resolving operational problems.
- Ensure adherence to quality and customer service standards.
- Set performance goals and deadlines in alignment with the college’s plans.
- Organize workflow and clarify employee duties and delegated tasks.
Qualifications
EXPERIENCE REQUIRED:
Five (5) years’ experience in post-secondary financial aid office and a minimum of three (3) years’ of supervisory experience
PREFERRED:
Eight (8) years’ experience in post-secondary administration, financial management, or student financial aid leadership role.
