General Description
This position is responsible for performing a variety of duties for the Division, including assisting the Dean, faculty, and staff with program needs, handling telephone, email and guest inquiries and following up on general information and other program-related matters; supporting the Division Assistant as needed or requested; and assisting with data collection and entry, records maintenance, and general communication from the division office.

Minimum Education/Experience
High school diploma/GED
Minimum (2) years' work experience in an office environment.

Microsoft Office 365 or similar software

Abilities:

Physical Demands/Working Conditions
PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:
The work is light work which requires the person in this position to occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:
This position requires the person to frequently move about the Division Office and campus to perform the essential functions of the position.
This position requires the person to frequently communicate with and listen to students, faculty, staff, administration, and others to perform the essential functions of the position; must be able to exchange accurate information in various situations.
Work is performed in a relatively safe, secure, and indoor office setting.
Work is performed during a normal office schedule as determined by the needs of the Division
Preferred Qualifications
Associate degree
Minimum (2) years' full-time work experience in an office environment at an institution of higher education.
Required Training
Quarterly compliance training as assigned by institution
Work Hours: Monday - Friday; 8:00am - 5:00pm according to the needs of the division.

Job Duties (Duties Assignment Statement)
- Greets, screens, announces, and routes phone calls and visitors or others needing assistance. Maintains positive relationships will all departments to ensure effective and efficient operations.
- Interacts effectively with and provides assistance to the Dean, directors, faculty, staff and students.
- Assists the Dean, Chairs, Faculty, and Division Assistant with information collection, management, and disbursement.
- Prepares operational forms necessary to ensure the effective functioning of the division.
- Works cooperatively with the Division Assistant and others in preparing for events and ceremonies.
Job Duties (Safety / Policy & Procedures)
- Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures
- Contribute to a safe educational & working environment.
- Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.
- Complete quarterly health and safety training pursuant to OCCC's established safety and health procedures and practices.
- Participate in all applicable OCCC emergency, evacuation, shelter in place drills, and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
