Job Summary
The Event & Course Coordinator for the School of Music will assist the department with coordinating events and serve as the primary course scheduler for the school.
Duties & Responsibilities
Event Coordinator
- Oversee the School's online events calendar.
- Assist faculty and students with recital scheduling at the beginning of fall and spring semesters.
- Assist faculty, administrative team, and other stakeholders in planning concerts, symposia, and other major events, including creating and maintaining timelines and checklists.
- Liaise with Business Office, Operations/Facilities, the Krannert Center for Performing Arts, Human Resources, and other internal and external departments to track, manage, and troubleshoot workflow and deadlines for major events.
- Assist with overseeing concert program uploads for faculty and student events.
- Assist with annual School of Music Convocation.
- Assist with specific assigned duties related to the Illinois Summer Youth Music (ISYM) initiative.
Course Coordinator
- Serve as primary course scheduler for the School.
- Oversee scheduling for all academic courses for all academic terms, year-round.
- Enter all course information and check for accuracy in Banner, Astra, and Course Explorer by the deadline for each semester's offerings.
- Coordinate with administrative liaison to communicate with faculty concerning deadlines, course location/date/time, changes in staffing and enrollment, etc., via email and at regular faculty/staff meetings.
- Assist undergraduate and graduate advisors with approving course overrides for students as needed.
Other duties as assigned.
Minimum Qualifications
- High School graduation or equivalent.
- Any combination totaling two (2) years (24 months) from the following categories:
- A. Professional work experience in event coordination.
- B. College course work in any discipline, as measured by the following conversion table or its proportional equivalent:
- 60 semester hours equals one (1) year (12 months)
- 90 semester hours equals two (2) years (24 months)
Preferred Qualifications
- Bachelor's degree or higher in music, arts administration, or closely related field.
- Minimum two years work experience in a public-facing arts and/or educational environment.
- Broad knowledge of music and programs of study offered by the School of Music and the University.
- Previous experience with UIUC systems including Web Tools and Banner.
Knowledge, Skills and Abilities
- Excellent communication skills.
- Experience working with standard software such as Microsoft Office Suite (Excel, PowerPoint, Teams, InDesign, Photoshop, etc.).
Appointment Information
This is a 100% full-time Civil Service 0101 - Events Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $59,000-$62,000 annually. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
