We are seeking an experienced full-time Executive Assistant to join the administrative team supporting the Office of the Provost. This is a varied and fast-paced role suited to a highly organised professional who enjoys working at the centre of a busy executive office.

In this role, you will provide high-level executive and administrative support to the Provost, including proactive diary management, complex travel arrangements and secretariat support. You will play a key role in drafting reports and communications, conducting background research, collating accurate information, and ensuring priorities are managed seamlessly.

You will also contribute to the planning and delivery of events and functions, and provide administrative support across finance and HR activities within the Office. Working closely with the Office Coordinator, you will help ensure the smooth day-to-day operations of the Provost’s office through a collaborative and solutions-focused approach.

As the first point of contact for internal and external stakeholders, you will represent the Office with professionalism, discretion and confidence. Your strong client service skills, attention to detail and ability to manage competing priorities will be essential to your success in this role.

About the person

To succeed in this role, you will have:

  • Relevant qualifications or equivalent experience in business administration or a related field.
  • Proven ability to provide high-level executive support, including diary and travel management.
  • Strong written and verbal communication skills, with experience drafting reports and correspondence.
  • Excellent organisational skills and ability to manage competing priorities, events and high-level meetings with precision.
  • High level of discretion and judgment when handling sensitive information.
  • Highly proficient in Microsoft Office, electronic diaries, and online systems.

Experience in a university or complex organisation, event coordination, and familiarity with HR and finance processes are desirable.

Salary details

The salary for the position commences at $83,210.75 per annum, plus 12% superannuation.
