Exhibitions and Outreach Coordinator
The Hoover Institution at Stanford University is seeking qualified candidates for the full-time position of Exhibitions and Outreach Coordinator at the Hoover Institution Library & Archives.
Job Purpose: The Exhibitions & Outreach Coordinator supports the Library & Archives (L&A) Engagement team in developing and delivering dynamic exhibitions, public programs, and outreach initiatives. This role coordinates the planning, installation, and promotion of exhibitions; schedules, facilitates, and leads class and group visits; leads tours of the galleries and other visitor spaces at Hoover; and contributes to L&A's strategic communications, including social media and a monthly newsletter.
Working collaboratively with staff across L&A, the Coordinator plays a key role in supporting academic engagement, organizing educational and public events, and producing exhibitions. Responsibilities include the research, writing, and editing of content for exhibitions and exhibitions-related publications and for other L&A educational and outreach efforts.
Core Duties:
- Work with Engagement team to assist in planning and executing exhibitions showcasing Hoover's collections, including research, writing, and the selection of objects for display, such as documents, photographs, posters, memorabilia, rare books, and video and audio recordings.
- Prepare archival materials, facsimiles, and captions for display, working with Hoover preservation staff to devise and implement best practices and identify materials requiring conservation treatment.
- Participate in cross-team workflows and liaise with digital, preservation, and description teams as well as with external vendors.
- Contribute to the assessment of collection material, including artifacts, for display value, collaborating with other departments to facilitate discovery, description, and documentation.
- Facilitate and administer the scheduling of classes and group visits to Hoover Tower, including for gallery tours and show-and-tell sessions of Hoover collection material.
- Track and be aware of public engagement projects across departments.
- Contribute to online exhibitions, showcasing current and past exhibitions as well as pertinent holdings of the Hoover Library & Archives on various themes.
- Contribute to the creation and management of descriptive and other metadata for selected exhibitions and projects, working in collaboration with multi-area teams according to professional standards and current archival procedures, using databases, office software, collections management software, and other appropriate technologies.
- Supervise students and support staff.
- Assist with staffing the Hoover Archives reference desk as needed and in accordance with unit priorities.
- Perform related projects and special assignments.
Minimum Requirements:
Education & Experience: Advanced Degree in Library Science or Museum Studies or a relevant academic discipline with demonstrated understanding of academic libraries, or a combination of education and relevant experience. Two years' work experience with archival materials in a library, archives, cultural heritage, or museum setting is required.
Knowledge, Skills, and Abilities:
- Knowledge of relevant aspects of library operations including understanding of contemporary library practices, trends and emerging technologies.
- Evidence of strong interpersonal skills and the ability to work with a wide variety of people.
- Effective problem solving, analytical and organizational skills.
- Demonstrated broad knowledge of library discovery environments, office automation software, and online resources.
- Ability to quickly learn and use print and online tools and resources and in area of specialization.
- Evidence of strong verbal and written communication skills.
Preferred/Desired Knowledge, Skills, and Abilities: In-depth knowledge of twentieth-century history and current events, with a degree in history or a related field highly desired. Established knowledge of and experience with exhibition methods in a museum, archive, cultural heritage, or library setting. Excellent command of written and spoken English with extensive writing experience and good knowledge of editing conventions and notations; outstanding research skills. Strong public speaking and presentation skills. Strong project management skills with the ability to use considerable judgment and display initiative; demonstrated ability to organize and prioritize work; close attention to detail and ability to manage multiple projects simultaneously. Outstanding interpersonal skills with the ability to work independently and as a team member and to work effectively and collegially across units and departments both within Hoover and across the university. Demonstrated ability to organize and prioritize work, acting with initiative, good judgment, and problem-solving skills. Flexibility to be organized, productive, and effective in a dynamic environment, involved with a variety of simultaneous projects and workflows. Punctuality and effectiveness at meeting deadlines. Experience applying professional standards such as DACS and Library of Congress subject headings, as well as technical skills with databases, content management systems, spreadsheets, office software and other applications. Ability to quickly learn and use print and online tools and resources in area of specialization. Demonstrated ability to work with a variety of materials (e.g. audio and video recordings, film, photographs, maps, etc.) and languages. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite; experience working with various communications tools (such as Slack, Zoom); project management tools (such as Trello, Smartsheet); calendar and scheduling tools (such as Outlook, Google Calendar); Adobe Creative Suite; and social media platforms.
