Position Summary: Under the direct supervision of the Director of Curricular Administration, the Experiential Faculty Support Assistant provides high-level administrative and operational support to the Director of Curricular Administration and to full-time and part-time faculty who teach experiential courses, particularly those that are simulation-focused. Duties include:
- Provide administrative support for the academic and program-related activities of the experiential faculty;
- Coordinate and organize events, including mock trials, competitions, workshops, symposia, and conferences;
- Manage the Standardized Client Program by hiring and scheduling actors for Trial Advocacy and other simulation-based courses;
- Provide administrative support to the Externship Program, including supporting full-time and part-time faculty, coordinating field placements, tracking student hours, tracking student evaluations, reviewing externship applications, planning information sessions, liaising with Records regarding externship registration, responding to student and supervisor inquiries, arranging site visits, processing student parking reimbursements, updating information provided to students and placements, and filing evaluations;
- Prepare and file expense reports and work with the Business & Finance office to ensure that all expense reports and invoices are paid in a timely manner;
- Exercise judgment on how to best utilize computer applications and class equipment to help faculty members;
- Work with audio-visual staff to ensure the proper video recording, retention, and dissemination of in-class activities and exercises.
Salary & Compensation: UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications:
- 2-4 Years: Previous work experience working with students at an institution of higher education. (Preferred)
- Excellent organizational skills with strong attention to detail and demonstrated skill in working independently, prioritizing and organizing workflow, establishing productive work environment, and following through on assignments/tasks. (Required)
- Demonstrated experience in student services, including working with individual students, and student organizations in a higher education setting. (Required)
- Advanced ability to develop, coordinate and implement events and programs (small and large). (Required)
- Demonstrated ability to manage websites and databases including the use of social media platforms to market the program. (Required)
- Advanced proficiency in the use of Adobe Acrobat, Excel, Word and PowerPoint in a Windows environment. (Required)
- Ability to work independently with minimal supervision, using initiative to anticipate needs in areas of responsibility. (Required)
- Excellent interpersonal and oral communication skills, with ability to act diplomatically with students, faculty, staff, other campus departments, and external community organizations in a high-pressure environment. (Required)
- Demonstrated ability to use appropriate discretion when dealing with sensitive information and situations. (Required)
- Ability to speak before groups and professional organizations to publicize Standardized Client Program and to recruit, schedule and pay for actors. (Required)
- Excellent writing and analytical skills, including demonstrated ability to draft correspondence, memorandum and reports. (Required)
- Demonstrate familiarity with the use of Artificial Intelligence programs to enhance productivity. (Required)
Education, Licenses, Certifications & Personal Affiliations: Bachelor's Degree or equivalent education or experience (Preferred)
Special Conditions for Employment: Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation. Live Scan Background Check: A Live Scan background check must be completed prior to the start of employment. Age Requirement: Candidate(s) must be 18 years or older to be eligible to be hired. Ability to attend early morning, evening or weekend events. (Required) Ability to work physically on site at UCLA's Campus a minimum of two days per week or additional days as business operations require. (Required)
Schedule: Monday - Friday | 8:00 a.m. to 5:00 p.m.
