Faculty Affairs Coordinator

Faculty Affairs Specialist who manages and implements administrative and operational activities for faculty affairs in the Department of Radiology. Manages and leads faculty affairs for all regular track and associated track faculty. Serves as primary contact for department AP&T (Appointment, Promotion and Tenure) processes; including new hire advanced rank process; assists with and facilitates faculty development process and mentorship program; manages and oversees cyclical faculty affairs processes; reviews and monitors faculty review dates to maintain awareness of mandatory review dates; manages and maintains scheduling of AP&T meetings; Manages and leads faculty annual review process; prepares a formal departmental mentorship initiative; provides business operational support for the department which includes processing local, national and international travel requests and reimbursements and processing requisitions for purchases, payments and reimbursements; assists and supports Department Leadership with business operations including human resources, procurement, travel arrangements and fiscal activities. Acts as subject matter expert for department AP&T, guiding faculty and committees, maintaining tracking systems, and timely execution of cyclical processes and accurate dossier preparation. Oversees policy interpretation, compliance, and governance updates and coordinates strategic efforts to advance faculty success across divisions.

MINIMUM REQUIRED QUALIFICATIONS
Bachelor's degree or equivalent experience. 2 years of relevant experience required. 2-4 years of relevant experience preferred.

60% Functions as the Faculty Affairs Specialist for the Department of Radiology and as a liaison to the College of Medicine (COM) office of faculty affairs; leads and manages all operational activities and serves as subject matter expert for the faculty affairs office under the leadership of the Vice Chair of Faculty Affairs; manages and facilitates faculty affairs for The Department of Radiology for all regular track faculty, associate track faculty, and contract faculty; serves as primary contact for departmental Appointment, Promotion & Tenure (AP&T) process and in collaboration with VC of Faculty Affairs, Human Resources, and the Associate Administrator; creates and manages a centralized office dedicated to the AP&T process; collaborates with the VC of Faculty Affairs in developing and executing department's strategic plan initiatives for faculty development and promotion and tenure efforts including updating governance documents based on changes made at the university and college; interprets policies and rules to guide AP&T Committee and ensure compliance; develops and maintains AP&T tracking system; assists with developing and facilitates faculty development process and department mentorship program; provides support and guidance with faculty recruiting and onboarding; coordinates and oversees cyclical faculty affairs processes; assumes responsibility for meeting deadlines relating to AP&T process; meets independently with faculty to consult and coach on completing dossiers and provides input on behalf of the AP&T chair;

20% oversees dossier assembly and screens for accuracy and review by the AP&T committee; reviews and monitors faculty review dates to maintain awareness of mandatory review dates and reappointments; facilitates P&T discussions and voting at faculty meetings: distributes dossiers; insures quorum; takes minutes; interprets polices and advises AP&T committee; serves as departmental contact for COM Office of Academic Affairs (OAA); acts as liaison for the division, department, Comprehensive Cancer Center (CCC) and Arthur G. James Cancer Hospital and Richard J. Solove Research Institute (The James); serves as primary liaison Division Directors, Division Administrators and faculty for all faculty affairs processes; Creates, develops, updates and oversees tools and resources for the annual promotion process; including developing and delivering lectures and other content such as newsletter articles for the Faculty Advancement, Mentoring and Engagement (FAME) program;

15% in collaboration with the VC of Faculty Affairs and Associate Administrator, manages the department annual review process and assists with academic bonus collection; manages advance rank, retire/rehire, and emeritus requests; assists with onboarding of new P&T coordinators in other departments; provides education, guidance and support to aid P&T coordinators in the College throughout the cyclical faculty affairs processes;

5% other duties as assigned.
