Job Description
The College of Professional and Continuing Studies is seeking a Faculty Support Specialist to join our team. Under direct supervision, this position will provide administrative support to existing staff in the areas of faculty onboarding, adjunct faculty support, and course scheduling.
Daily responsibilities will include:
- Serve as a contact person for full-time and adjunct faculty members, providing information regarding training, hiring, and onboarding processes, including availability of resources and training materials.
- Receive calls, take messages, route visitors to appropriate staff.
- Maintain confidential office files and records, including gathering CVs and transcripts from incoming faculty prospects.
- Maintain and update faculty MIS database.
- Assist senior staff with PACS course scheduling and faculty training.
- Prepare reports of faculty course rotation, inload/overload, and send contracts and correspondence to faculty.
- Administrative entry-level office duties including, but not limited to, making copies, opening and routing mail, running errands, monitoring supplies, and scheduling appointments.
Job Requirements
Required Education and Experience: High School diploma or GED, AND:
- 12 months office, clerical or administrative support experience.
Skills:
- Working knowledge of office procedures.
- General office and customer service skills.
- Working knowledge of Microsoft Office Suite (Outlook, Excel, and Word).
- Excellent interpersonal skills.
- Ability to work independently and as a team player.
- Ability to complete tasks in an efficient and timely manner.
- Must be detail oriented for accuracy of data and information.
- Ability to multitask, be organized, and self-motivated.
- Ability to work in stressful situations.
- Ability to communicate verbally and in writing.

Environmental:
- Standard office environment with occasional exposure to pressure caused by deadlines and busy periods.
Departmental Preferences:
- Bachelor's degree
- Previous experience working in higher education with faculty.
Supervision: No supervisory duties.
