Full Time - Payroll Coordinator, Snapdragon Stadium
SUMMARY
The Payroll Coordinator plays a crucial role, primarily serving Snapdragon Stadium and providing support to other business units within Aztec Shops as required. This on-site position extends to working at events and will focus on ensuring accurate and timely payroll processing, maintaining payroll records, and assisting in payroll-related tasks in a dynamic and fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Review and maintain schedules using UKG software. On event days, ensure that all employees are clocking in and out accurately and all lunch breaks are being taken. Follow-up with employees that have missed any punches, or made any errors, that same day. Obtain written communication from employees for any changes that need to be made to timecards.
- Complete tip and service charge reporting functions.
- Schedule all Snapdragon hourly employees in UKG weekly based on management input.
- Send all standard daily payroll reports to appropriate management for review each week.
- Reviews time sheets for temporary and partnership employees and email to appropriate personnel to confirm data.
- Facilitates payroll audits for Snapdragon Stadium.
- Works closely with the Aztec Shops payroll department campus team to complete the bi-weekly payroll. Must maintain strict payroll deadlines.
- May be asked to assist checking in employees, temporary employees, and other staff/vendors before events/concerts.
- Develops and maintains working relationships with customers, coworkers, vendors, student organizations, faculty, staff, and University personnel.
- Must have a flexible schedule. Hours for this position will vary depending on the concert/event schedule. Some nights and weekends will be required.
- Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, payroll, wage, hour, safety, and health.
- Other duties as assigned.
MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED
Bachelor's degree in related field preferred; at least one year's experience in payroll; or equivalent combination of education and experience. Possess strong attention to detail, critical thinking, problem solving, analytical, and accuracy skills. Ability to multitask, prioritize workload, complete tasks independently, and meet deadlines. Proficiency in understanding and use of personal computers, Microsoft Office and Google Workspace, and 10-key adding machine or calculator skills. Excellent verbal and written communication skills and presentation skills, including facilitation skills and excellent interpersonal and customer service skills. Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies. Minimum 1 year experience with UKG software.
MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
LANGUAGE SKILLS
Must be able to read, write and understand English fluently. Requires the ability to follow verbal and written instructions, guidelines and objectives. Requires the ability to read and comprehend a variety of informational documentation, procedures and correspondence. Requires the ability to write business correspondence with proper format, punctuation, spelling and grammar. Must be able to communicate effectively using electronic media and in written and verbal forms. Requires the ability to effectively communicate with customers and employees.
MATHEMATICAL SKILLS
Requires the ability to prepare and analyze numerical figures, create and interpret spreadsheets. Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.
REASONING ABILITY
Requires the ability to apply common-sense understanding to carry out general written or oral instructions. Must be able to multitask, prioritize work and pay attention to detail. Requires good analytical and quantitative skills, and the ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
MANUAL DEXTERITY
Must be able to utilize a computer. Requires the ability to use a variety of office machines and equipment.
PHYSICAL COMMUNICATION
Must have the ability to talk/expressing and/or exchanging ideas and hear/perceiving sounds.
PHYSICAL DEMANDS
Must be able to operate computers, copy/scan machines, fax machines and other general office equipment such as a 10-key calculator. Must be able to move, lift or carry heavy objects or materials up to 15 pounds. Ability to walk for extended periods within a stadium environment in inclement weather which may frequently require ascending/descending stairs. Specific visual abilities required by this job include close vision for extensive reading and document interpretation.
WORKING CONDITIONS AND HAZARDS
Non-event work is regularly performed in a traditional office setting and event day work is generally performed throughout the stadium in an outdoor setting. Working outdoors in varying weather conditions with exposure to dust, allergens and work temperatures. There may be occasional exposure to food fumes or airborne particles. The noise level in the work environment is usually low to moderate on non-event days and moderate to loud on event days.
BACKGROUND CHECK INFORMATION
A background check will be conducted after a conditional offer of employment is extended by the company and accepted by the applicant and must be satisfactorily completed prior to any applicant beginning work in a full-time, part-time non-student, or sensitive student capacity with Aztec Shops Ltd.
