Gallery Receptionist
This position serves as primary front desk receptionist and initial point of contact with visitors to the Hallie Ford Museum of Art. Provides information to visitors and answers telephone calls and email inquiries. Handles admission and store sales. Each receptionist is expected to cover absences for the other.
ESSENTIAL DUTIES
- Answers phone calls and emails, takes messages and distributes information in an accurate and timely manner. Welcomes visitors and guests in a helpful and courteous manner.
- Provides information to visitors of the Hallie Ford Museum of Art: directs visitors and guests to appropriate galleries and/or services; maintains knowledge of permanent and temporary exhibitions; answers general questions; refers inquiries to appropriate staff or, in their absence, handles inquiries, referrals or problems as they arise; provides individual assistance to groups and individuals with special needs (disabled, children, seniors, etc.). Provides information to out-of-town visitors about University, city, and regional points of interest.
- Handles admission and store sales: collects money and prepares receipts. Monitors inventory. Fulfills online orders. Proactively ensures store displays are well-maintained.
- Collects visitor data required for reporting purposes.
- Maintains pamphlet/information files for distribution to visitors such as lure brochures, membership brochures, calendar of events, etc.
- Handles group reservations: books school and group tours of permanent and temporary exhibitions.
- Provides clerical support to staff for special projects as needed.
- Individuals in the Receptionist position are expected to cover absences for the other.
- Individuals in this position are expected to cover occasional weekend and evening events.
- Safeguards the confidentiality of departmental or office administration by exercising discretion in communicating information to faculty, students, staff, visitors, patrons and handling departmental records and files, personnel actions, performance evaluations, merit, and similar confidential materials.
- Attends staff meetings as scheduled.
- Performs other essential duties as assigned.
MINIMUM QUALIFICATIONS
- High school education.
- Minimum of two years of experience as a receptionist/administrative assistant.
Typical Work Schedule
Thursday - Friday and every other Saturday, 12 - 5pm. Occasional late evenings for special events.
Physical Demands and Working Conditions
This position is located in an art museum and requires sitting at a desk for extended periods of time, as well as ability to move about the gallery for opening and closing tasks.
