Coastal Carolina University, a dynamic public institution located in Conway, South Carolina, just minutes from Myrtle Beach, is seeking applications to join the team in the Office of Sponsored Programs and Research Services (OSPRS) as a Grant Services Coordinator.

Requirements: A bachelor’s degree and business, personnel, grant-in-aid or public administration experience; one (1) year of experience preparing external funding proposals in a higher education setting. Equivalencies may be considered.

Preferred Qualifications: Experience with state, federal and foundation electronic grant application systems. Project management experience is helpful.

Additionally, a successful candidate should possess outstanding organizational and time management skills; exceptional verbal and written communication skills; an ability to establish effective working relationships with university offices, federal, state and local agencies; an ability to work effectively and efficiently when faced with shifting deadlines and priorities; and excellent analytical and problem-solving skills.

Duties will include, but are not limited to:

Pre-Award Responsibilities: Reviewing, coordinating and managing the submission of compliant funding proposals to include management of all supporting documentation from Principal Investigators (PI) and external collaborators, completing the entry of data elements and attachment uploads in sponsor electronic systems or other submission mediums. Assisting with, and performing, funding searches in response to requests from faculty, staff or university administration. Processing Notice of Intent (NOI) forms for new proposals. Reading solicitations and related materials to highlight specific requirements for PI and the OSPRS. Determining PI and university eligibility, type of funding vehicles or internal considerations where limitations on submissions apply. Creating individualized checklists to include all required proposal elements and templates. Drafting initial budgets and justifications. Preparing institutional forms and other documents. Reviewing and editing of proposal documents and working with PIs to prepare final versions. Initiating, tracking and ensuring required internal approvals for all funding proposals are obtained. Managing the university’s electronic grants management system and network drive records. Securing the approval for proposal submission from department and division heads. Entering proposals into sponsor-specific online grant systems. Ensuring a complete package for Authorized Organization Representative (AOR) review and approval for submission.

Post-Award Responsibilities: Analyzing executed funding documents to prepare new award files and documents for the Research Administration Post-Award Team and award management tools for PIs. Reviewing award/contractual documents and attachments to highlight items requiring post-award attention. Opening the new award file in the university’s grants management system and network drive. Updating all active award lists. Translating proposal budgets to internal award budgets. Drafting initial award management set-up documents, to include financial tracking tools, for post-award. Creating reporting schedule reminders for post-award and PIs. Participating in new award meetings with PIs.

Administrative Responsibilities: Maintaining knowledge of new or changed rules, regulations, guidelines, requirements or procedures at the university, state or federal levels and assisting in updating university resources (website, forms, templates, etc.) to help ensure university compliance. Ensuring communication of sponsor new or changing requirements for funding proposers or awardees in multi-mediums. Managing university records of required training, certification or education for employees and students participating in externally funded projects. Coordinating with university departments to ensure institutional-level requirements of funding proposal and awards are met.

Professional Development Responsibilities: Seeking opportunities to advance knowledge and skills in the grants management field. Participating fully in trainings, workshops and other educational opportunities provided. Networking with peers and aspirants through live and virtual and mediums. Sharing knowledge gained by improving on current procedures and practices for PIs, the OSPRS and the university to help increase the amount of new funding proposals.

Grant Services Coordinator (BE20-Grants Coordinator II / FTE -S01117P), full-time position with benefits. SC State Pay Grade: GEN08. Salary range: $45,300 (minimum) – $61,100 (midpoint). Normal work hours are Monday through Thursday, 8:00 am to 5:00 pm and Friday 8:00 am to 12:30 pm, with flexible scheduling offered. Must be flexible to meet occasional special scheduling needs of the University and available for limited daily or overnight travel.

Knowledge, Skills & Abilities
Proficiency with MS Office Suite software, to include Word and Excel as well as with Adobe Acrobat Pro. Cursory knowledge of federal grant and agreement regulations. Knowledge of pre-award or post-award functions typical of an Emerging Research Institution (ERI). Outstanding organizational and time management skills. Strong attention to detail. Exceptional verbal and written communication skills in the English language, with an ability to articulate needs and questions clearly. Ability to establish effective working relationships with faculty, university offices, federal, state and local agencies. Ability to work independently with minimal supervision and exercise good judgment. Ability to work effectively and efficiently when faced with rapidly shifting deadlines and priorities. Ability to work with competing deadlines and numerous personalities with diplomacy and tact. Comfort with multi-tasking. Self-awareness to know when to ask for support. Situational awareness to know when support of others is needed. Advanced analytical, investigative and problem-solving skills.
