Position Summary

The WashU Medicine Department of Anesthesiology is heavily funded by grants and last year was the #1 NIH funded anesthesiology department in the country. Our research efforts are organized into three primary divisions: the Division of Basic Research (DBR), the Washington University Pain Center (WUPC), and the Division of Clinical & Translational Research (DoCTR), and one Center: The Center for Clinical Pharmacology (CCP).

Grants Specialists (GS) play a vital role in the sponsored project life cycle, ensuring that research proposals adhere to sponsor guidelines and are successfully submitted. The GS I supports faculty, trainees, and staff throughout the pre-award stage of sponsored projects, including proposal preparation and submission, just-in-time requests, and compliance.

May assist with activities associated with a portfolio of faculty post-award and payroll sourcing with minimal supervision/oversight.

Job Description

Primary Duties & Responsibilities:

  • Works with Principal Investigator to compile and submit the entire grant according to established agency/university guidelines. Prepare and review all agency forms for submission. Enter grant budgeting documents on line.
  • Assists PI with obtaining potential grant applications/ instructions.
  • Works closely with OSRS/SPA to ensure that all funds are set up in a timely manner; prepare any necessary project advances, no-cost extensions, and ensure that funds are carried forward as appropriate.
  • Works with OSRS/SPA/JROC to ensure timely implementation of contracts and subcontracts by examining and supplying the necessary requirements to OSRS.
  • Troubleshoots errors of moderate complexity in grant profile setups.
  • Tracks and maintains online database of grants submitted, awarded, rejected, etc. using Monday.com
  • Organizes and determines proper action plans including the oversight for advanced alerts to PIs of upcoming deadlines for continuation, competitive renewals, progress reports, etc.
  • Responsible for ensuring that human and animal study protocols are associated with the applicable proposal or award.
  • Coordinates transfer of PI grant files into Wash U and to new institutions or new departments.
  • May be responsible for closure of grant accounts. Submits final progress report and final invention statement (if applicable) to the appropriate agency.
  • Coordinates the necessary support with internal and external requests for grant-related information (i.e. current biosketches, trainee information, human/animal protocol approvals, and other support).
  • Obtains signatures and forwards grant financial status reports to Principal Investigator and senior leadership.
  • Assists with processing outgoing subaward and industry sponsored clinical trial invoices
  • Organizes and maintains electronic and hard copy grant files.
  • Attends training sessions/seminars related to position.
  • Assists senior leadership with special projects as requested.
  • May assist with monitoring grant accounts and processing budget adjustments.
  • May assist in sourcing adjustment reconciliation.
  • Other duties as assigned.

Salary Range

$25.47 - $39.49 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
