Description:
The HR Time and Attendance Administrator supports the accurate administration of employee time and attendance data across the University. This position is responsible for reviewing and validating timecards, ensuring compliance with University policies and applicable collective bargaining agreements, and serving as a key liaison between Human Resources and Payroll.
The role works closely with HR colleagues, Payroll, campus departments, and IT partners to ensure time and attendance data integrity, resolve discrepancies, and support system functionality and process improvements that enhance operational efficiency and the employee experience.
Responsibilities include, but are not limited to:
- Timekeeping data entry, reviewing and auditing employee timecards for accuracy, completeness, and compliance with University policies and collective bargaining agreements.
- Identify, research, and resolve time and attendance discrepancies in collaboration with departments, Human Resources, and Payroll.
- Serve as a primary HR point of contact for time and attendance questions, including policy interpretation and system use.
- Partner closely with Payroll to ensure accurate and timely transmission of approved time data for payroll processing.
- Support the administration of timekeeping systems, including employee setup, pay codes, schedules, and approvals.
- Perform routine audits of time and attendance data to ensure accuracy, consistency, and compliance with wage and hour regulations.
- Assist with system testing, updates, and enhancements related to time and attendance in coordination with HR Systems and our time and attendance vendor.
- Provide ongoing recommendations to enhance efficiency and streamline time and attendance processes.
- Develop and maintain documentation for time and attendance procedures, workflows, and internal controls.
- Provide training and guidance to supervisors and employees on timekeeping practices and system functionality.
- Generate standard and ad hoc reports related to time and attendance for HR, Payroll, and University leadership.
- Handle sensitive employee data with discretion and confidentiality.
- Perform other duties as assigned.
Qualifications:
- Bachelor's degree required.
- 1–3 years of experience in Human Resources operations, time and attendance administration, or related HR systems role.
- Familiarity with timekeeping and HR systems within an ERP environment.
- Strong proficiency in Microsoft Excel, including formulas, pivot tables, and data reconciliation.
- Ability to communicate clearly and effectively with employees, supervisors, and administrative partners.
Preferred Qualifications:
- Experience working in a unionized or higher education environment.
- Familiarity with Ellucian Banner or similar ERP systems.
- Prior experience with ADP eTIME.
- Working knowledge of wage and hour regulations affecting time reporting.
- Experience auditing data and resolving discrepancies in high-volume environments.
- Strong organizational skills with the ability to manage multiple deadlines.
- Demonstrated integrity, attention to detail, and commitment to confidentiality.
