Salary Range: Up to $46,000 annualized, commensurate with education, experience and qualifications.
Hours: up to 40 hours per week, exempt.

Job Summary: The Human Resources Coordinator provides operational and administrative support to the Vice President of Human Resources and the Human Resources department. This role coordinates administrative functions which include administrator support, fiscal management, communications, and project coordination.
Core Responsibilities:
- Uses initiative and independent judgment to relieve the Vice President and other department administrators of administrative matters and decisions. Acts as an administrative specialist for the department and handles complex office decisions. Assists department administrators in establishing and attaining departmental goals and objectives.
- Provides administrative support to Vice President and the department by researching policies, issues, etc.
- Maintains a high degree of confidentiality in all matters.
- Manages complex calendar appointments and email for the Vice President for Human Resources. Informs supervisor of time sensitive correspondence. Responsible for making travel arrangements, registering for events, and all associated responsibilities.
- Provides the administrative lead on preparing agendas, ensuring all necessary supporting documents and background information is provided in advance.
- Coordinates weekly staff meetings and monthly all hands meetings.
- Edits memoranda, reports, and various documents/publications.
- Reconciles expense reports, travel, and MRF reports on a monthly basis as well as reconciles department PCards and travel cards.
- Serves as the department timekeeper by ensuring all timesheets are approved and submitted prior to deadlines.
- Leads the coordination of department employee events and celebrations.
- Purchases supplies and office equipment and ensures prior budgetary approval has been provided prior to submitting orders.
- Serves as the main department contact and is responsible for the departmental inventory control.
- Collects data from various sources and analyzes for accuracy, completeness, and relevance. Prepares complex, statistical, technical, financial, and confidential reports, charts, and graphs.
- Acts as a liaison with other departments and agencies regarding inventory control, building services, equipment maintenance and repair, purchasing, safety, and other administrative matters.
- Provides communications guidance and support to identify communications needs and craft content for the department.
- Develops and writes letters, memoranda, emails, newsletters, correspondence, digital content, and other materials that support the short and long-term strategic communications goals of the department.
- Routes correspondence to other offices for input when appropriate.
- Evaluates and edits the content, structure, and format of a range of communications material.
- Assesses and recommends improvements for department communications based on review.
- Acts as a liaison between People Excellence and VPBA communications and ensures requests are entered in the system in a timely manner to ensure effective communications with appropriate audiences.
- Provides project management assistance and support on departmental projects of varying size.
- Works closely with subject matter experts within the department to assist with creating, monitoring, and executing project plans. Makes modifications to plans and schedules as necessary to ensure the successful completion of projects within time and budget constraints.
- Ensures there is effective collaboration and communication with key partners in the implementation of projects.
- Produces project status reports and collects and uploads project documentation as needed.
- Schedules and attends required project meetings to ensure projects stay on track, issues are tracked to resolution, and any changes are documented and analyzed.
- Tracks project action items, following up with individuals as required.
- Assists with tracking budget and expenditure needs and available funds associated with projects.
- Makes arrangements for official guests and receives them in the absence of the administrator.
- Disseminates important policy and procedure information as appropriate.
- Performs other duties as assigned.
Required Qualifications: Bachelor's Degree, 2 years of experience in human resources, business, or related field. This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.
Knowledge, Skills, and Abilities: Proficient in Microsoft Office Suite, Knowledge of current methods and systems of bookkeeping, filing and purchasing, Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment, Ability to maintain confidentiality and respond appropriately to sensitive issues, Excellent verbal and written communication skills with the ability to support a wide range of constituencies, Previous success working independently and in a team-oriented, customer service environment.

Working Conditions: Working Environment: Office Environment. Occasional after hours and weekend work or overtime may be required. Physical Demands: Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally. Exerts up to 10 lbs. of force occasionally. This position will require working both remotely in Texas and on campus. Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
