Position Summary:
Employee Services provides the CU community with excellent services from recruitment to retirement. This office provides technical expertise while administering benefits, professional development, payroll, individual tax management, and strategic HR programs. The functional areas of Employee Services include Payroll, Technologies, Benefits, Retirement, Financial Education, Learning and Development, International Tax and Human Resources.
The Leave Case Manager position sits on the leave team within Employee Services. This position will administer and advise on federal, state, and university leave benefits including the Family and Medical Leave Act (FMLA), Parental Leave, Short Term Disability, and Family and Medical Leave Insurance Act (FAMLI) for the University of Colorado. This position will be responsible for understanding the FMLA, FAMLI and related leave processes and communicating these processes with employees, supervisors, and campus partners in a manner that is clear and easy to understand for someone who may not be familiar with regulatory terms.
The Leave Case Manager will assist with providing campus guidance on FAMLI, FMLA and related leave inquiries and training. This position will assist leadership in continuing to improve and build upon the centralized program to maintain compliance with state and federal regulations.
A successful incumbent in this role must have the ability to pay close attention to detail and work through nuanced processes that change based on employee populations and leave scenarios. This position will work in a collaborative environment and must be able to bounce ideas off other team members. This position will collaborate with other teams including the payroll team, technical administrators, and campus HR partners.
This position reports to the Leave Team Manager and is exempt from the State of Colorado Classification system.
Where You Will Work:
Applicants must be Colorado residents or able to relocate to Colorado within a month of starting employment with University of Colorado System Administration.
This role is eligible to work remotely within Colorado.
Please note, leadership may adjust in-office work requirements with a minimum of three months' notice before any change can be implemented.
Duties and Responsibilities:
- Administration of the Family and Medical Leave Act, Family and Medical Leave Insurance Act and Parental Leave:
- Communicate with employees during their initial request, determine eligibility, provide eligibility packet and required case documents, review medical certification, and clarify/authenticate when needed, designate the leave, and handle the return-to-work process.
- Collaborate with the payroll team to ensure leaves are accurately tracked, paid, and reported in the HCM payroll system.
- Collaborate with University Risk Management to ensure On-the-Job Injuries (OJI) are appropriately designated under the FMLA and all related leave and restrictions are appropriately managed by departments.
- Guide and instruct employees through the Parental Leave application process and ensure employees clearly understand all related benefits and entitlements.
- Leave Program Training
- The Leave Case Manager will assist in educating and training campuses on FMLA, FAMLI and other related leave regulations. Type and content of trainings will include: Campus policies and procedures. Individual advising for employees, supervisors, HR Liaisons. FMLA/Parental Leave/FAMLI information sessions. Department requested training/info sessions.
- Assist with and present leave-related training.
- Maintain compliance and remain up to date with FMLA and FAMLI regulations and university policy changes and partner with the leadership to educate campus on these changes.
- Other Duties as Assigned
- Responsible for researching policies, practices, procedures, and case law related to FMLA, FAMLI and other types of leave.
- Collaborate with all University of Colorado campuses regarding leave management standard methodologies.
- Work with the campus HR teams to address complex cases that intersect with performance management or other Employee Relations topics and initiatives.
What We Offer:
Salary: The anticipated hiring range has been established at $57,000-$63,000.
CU System Administration takes into consideration a combination of the selected candidate's education, training and experience as it relates to the position, as well as the position's scope and complexity, internal pay equity and external market value when determining a salary level for potential new employees.
Qualifications:
Minimum Qualifications:
- Bachelor's degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis)
- One (1) year of experience in a benefit or leave related environment, or similar.
Preferred Qualifications:
- Two (2) years' professional experience related to coordinating and supporting leave programs, or other similar programs, which includes: Experience with researching and applying federal and state program compliance requirements. Experience with case management and documentation.
- Certified Leave Management Specialist (DMEC) certification. Candidates without this certification will be required to obtain this certification within one year, as it supports success in the role.
- Experience with HCM and MyLeave
- Experience working in Higher Education.
- Experience working with payroll processing.

- Knowledge of the Family and Medical Leave Act (FMLA) regulation.
- Knowledge of the Colorado Family and Medical Leave Insurance Act (FAMLI) or other state family leave requirements.
