DEPARTMENT: Music

FLSA STATUS : Non-Exempt

SUPERVISION RECEIVED: Reports to the chair of the Music Department & the Manager of Music and Art Operations

SUPERVISION EXERCISED : Student Workers & Graduate Assistants as appropriate.

POSITION SUMMARY: The Instrument Manager & Library Coordinator is to help support the operations of the Music Department by managing all the inventory of instruments owned by the University, assisting with distribution of loaners, coordinating their return, upkeep and maintenance. In addition, they will be responsible for overseeing the operations of the Music Library, including hiring student workers, training them, scheduling shifts, and ensuring proper operations of the library. This includes checking out books, managing their return, restocking, reshelving and keeping proper inventory. Also act as Stage Manager when needed for events in the performance halls. Occasional evening and weekend hours are required.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Instrumental Manager

  • Instrumental Inventory
    • Oversee and maintain the instrument inventory for the Music Department
    • Keep detailed records and tracking information on the department’s instrumental inventory and oversee sign-outs to students throughout the year using the OCLC library system.
    • Create and manage check-out forms
    • Oversee and train 1-2 student workers, who handle the bulk of sign-outs during the academic year
    • Handle all summer instrument needs, including sending out instruments for cleaning and repair in time to provide instruments to the Marching Band
  • Instrument Locker maintenance
    • Maintain locks and coordinate use of the lockers
    • Reassign lockers as needed
    • During the summer, clean out and prepare lockers for the new school year
  • Techniques classes
    • Communicate with techniques class instructors about instrument needs and ensure the necessary instruments are clean and ready to go for the semester
      • The Music Education professor coordinates the use of Yamaha instruments used in tech classes
    • Coordinate with Nazareth Music regarding requests for instruments we do not have in the department’s inventory. Also coordinate any rentals or purchases with the department Business Manager where funds are needed.

Music Library Coordinator

  • Student workers
    • Train work study students how to work in the library
    • Recruit students as needed
  • Maintain organization and order in the library
  • Oversee a library “shelf read” every other summer. Coordinate with Reeves library staff.
  • Properly re-shelf library materials

Music Event Assistant Stage Manager

  • Coordinate with Operations Manager a schedule of events to work (weekends, after hours as needed)
  • Direct the student workers who signed up to help, delegate responsibilities based on shows individual needs (i.e. hand out programs, run lights and or sound, work the box office, set-up and tear down, etc.)
  • Setting up tables as needed in the lobby.
  • Assist with normal performance operations, including opening, getting the cash box and credit card reader if needed, setting the stage, making sure doors are open at their specified time, the space is clean and clear of clutter, emergency/accent lighting is on, break down, turning off lights and locking up at the end.
  • Return signed programs and cash bow and credit card reader to the Operations Manager’s office.
  • Coordinate the Long Island Music Festival at the end of the spring semester.
    • Coordinate with Festival lead for timing, space usage, set-up needs etc.
    • Schedule and assign duties for Work Study students
    • Communicate with the Operations Manager for conflicts/needs.
    • Be on-site liaison between Festival and Music Department

QUALIFICATIONS:

  • Must hold a high school diploma (or GED)
  • Strong organizational skills
  • Knowledge of Google apps and Microsoft Office apps.
  • Strong oral and written communication skills, including prompt response to emerging and urgent needs
  • Some background in music

PREFERRED QUALIFICATIONS :

  • Bachelor’s degree is preferred
  • Experience in developing, implementing, and managing a general education program
  • A demonstrated ability to plan, manage, and bring to completion projects related to teaching and learning
  • Success in collaborative work and in working with people of different backgrounds, experiences, and opinions.
