Manager, Institutional Funding and Sponsored Research
Job Description
Duties and Responsibilities:
- Help build the pipeline of grant funding for Barnard through research and the support of proposal submission to foundations, corporations, and government agencies.
- Prepare background and briefing materials for the President, Provost, faculty and other senior staff for cultivation and stewardship of foundation and corporate donors and prospects.
- Draft grant proposals, letters of inquiry, and funding applications in collaboration with team members, faculty, and senior staff, ensuring alignment with funder guidelines and institutional priorities.
- Update and maintain records in Salesforce and iWave databases. Upload proposals, budgets, and other key information, and reference historical records in Cayuse and Microsoft Access as needed.
- Conduct individualized funding research for faculty and College projects and generate detailed reports on findings.
- Send targeted prospect notification emails to faculty and staff about relevant grant opportunities and funding announcements aligned with their research interests.
- Serve as the primary point of contact for faculty inquiries regarding grants and funding opportunities, managing the IFSR team email inbox and directing requests to appropriate team members to ensure timely responses.
- Draft and produce the monthly grant opportunities newsletter for faculty and staff.
- Serve as liaison with the Communications team to update and maintain the Institutional Funding and Sponsored Research webpages.
- Maintain key data points and documents provided by collaborating offices for use in grant proposals and update or upload as needed to funder portals.
- Save and organize files in Google Drive and network drive as needed.
- In collaboration with Finance, create new accounts for incoming grants.
- Review and customize acknowledgment letters to IFSR donors.
- Track all new payments and pledges for IFSR, maintain communication with Development Operations and Finance about upcoming awards and wire payments.
- Generate reports with IFSR records for various audiences, including a bi-annual activity report for the Provost and special reports for the VP/Provost/President's Office as requested.
- Assist in scheduling key meetings with internal and external stakeholders for the IFSR team.
- Track all OTPS expenses for the IFSR budget and reconcile these expenses monthly, process budget transfers as needed and as directed.
- Keep records of credit card transactions and reconcile monthly credit card statements.
- Supervise up to two student workers.
Other related duties, including special projects, as assigned.
Skills, Qualifications & Requirements
Knowledge, Skills, and Experience:
- Excellent computer skills; high level of comfort navigating unfamiliar application portals; experience with Salesforce and Google Workspace preferred
- Experience with fundraising database platforms preferred
- Strong organizational skills, attention to detail, and knowledge of basic office management techniques, i.e. workflow, filing systems, scheduling, etc.
- Excellent communication skills, both verbal and written
- Ability to work independently and in collaboration with others
- Initiative combined with good judgment
- High degree of tact, discretion, and interpersonal skills, including the ability to interact with colleagues across all levels at the College
- Adherence to the department values: collaborative, accountable, trusting, respectful, aspirational, and transparent
Qualifications:
- Bachelor's degree with 1-2 years experience in related field or equivalent professional experience
Additional Information:
- This job is currently a hybrid position and requires a presence in the office of at least two days per week and up to five days a week, including for team and full staff meetings, special events, and other times as directed by the supervisor.
Salary Range: $64,350 - $72,000 annually
