Manager, Reporting and Reconciliation Financial Aid
PURPOSE AND SCOPE:
The Manager, Reporting and Reconciliation Financial Aid (FA) is accountable for financial aid reporting, reconciliation, the ineligible high school process, and compliance for the institution. This role ensures timely and accurate reporting to federal, state, and institutional agencies while managing the reconciliation of financial aid disbursements, awards, and student accounts. The position requires strong knowledge of financial aid regulations, data management, and cross-departmental collaboration to maintain compliance and financial integrity.
ESSENTIAL JOB FUNCTIONS:
- Supervise, train, and provide solutions to the Financial Aid Reporting and Reconciliation (FARR) Staff
- Work through various reports to ensure that no student slips through the ineligible HS reporting
- Ensure all aspects of Federal Pell reports are properly handled by staff; Pell reconciliation, MRR, POP reports, etc.
- Ensure all aspects of Federal Loan reports are properly handled by staff; transfer monitoring, loan reconciliation, SAS report for COD, loan summary report, loan reports for student financials, rejected origination, loans on hold, rejected changes, transmitted loans, etc.
- Responsible for overseeing the federal and state work-study process, with support from the coordinator. This includes securing community partnerships and job placements to meet the institutional 7% community service requirement. The FARR Manager ensures all work-study allocations are fully earned and performs monthly reconciliation of work-study earnings. They will ensure the work-study program is executed efficiently, in compliance with all applicable regulations.
- Ensure all processes involved in the Return to Title IV process are performed according to regulation and refunds are issued in a timely manner
- Oversee the scholarship process to ensure timely reviews, awards, and reconciliations. The FARR Manager will support the coordinator by assisting with scholarship review and award distributions, ensuring that the process is smooth and compliant with institutional and regulatory guidelines.
- Work with Executive Director of System Operations to streamline current processes and strive for a leaner, more efficient financial aid process flow
- Attend meetings representing FARR and Financial Aid for various issues and institutional representation, where solutions as well as guidance is sought to solve issues that our student population is or will be facing
- All other leadership duties as assigned, these vary by week and the need for the department
- Responsible for other reasonable, related duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of financial aid, funding development
- Detailed knowledge of policies and procedures, institutional goals and federal and state financial aid rules and regulations
- Verbal and written communication and interpersonal skills to interact effectively with broad variety of individuals at all levels and from diverse backgrounds
- High working knowledge of FA and related funding guidelines, compliance, and audit standards.
- Knowledge of higher education structure, community systems and agencies which fund higher education
- Critical thinking and problem-solving skills
PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
- Equipment used includes PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
- Interface with internal and external contacts as needed to carry out the functions of the position
- Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
- Bachelor's degree and at least 7 years of experience
- Experience must include at least 5 years in a supervisory level position
- Must be in good standing with the Department of Education
