MARCQI Administrative Coordinator

The Michigan Arthroplasty Registry Collaborative for Quality Improvement (MARCQI) is a Blue Cross Blue Shield of Michigan (BCBSM) and Blue Care Network (BCN) Collaborative Quality Initiative (CQI) that aims to address inconsistencies and variations in patient outcomes related to hip and knee joint replacement surgery. The goals of MARCQI are to create a statewide quality improvement infrastructure by developing a consortium of hospitals and Ambulatory Surgery Centers in Michigan to engage in quality improvement activities for hip and knee joint replacement surgery procedures in the state of Michigan. We are bringing together arthroplasty practices across the state of Michigan to collaborate and share data regarding processes of care and clinical outcomes in the treatment of hip and knee replacement procedures. We are currently looking for a highly motivated, detail orientated, experienced self-starter who will serve as an Administrative Coordinator for our Coordinating Center full-time located in Ann Arbor, Michigan. This person will serve as the first point of contact for many of MARCQI communications and support efforts, and the role requires a highly skilled individual with a broad skillset and great deal of experience. The Administrative Coordinator will help provide administrative oversight for projects and program operations and should have the maturity and experience to know when decisions are within their purview and when they need to be escalated for broader discussion. While working to advance the goals of MARCQI, the Administrative Coordinator will function in their role with minimal supervision and be expected to think critically, problem solve, exercise independent judgement, and contribute significantly to MARCQI Coordinating Center operations.

Specific responsibilities will include, but are not limited to the following:

  • Support daily operations of MARCQI
  • Exercise considerable discretion and independent judgment
  • Analyze complex information requests and determining complex trends
  • Manage arrangements for MARCQI Coordinating Center meetings including: Scheduling/hosting Zoom meetings and webinars or in-person meetings, sending meeting agendas, taking meeting minutes, and making catering arrangements for onsite meetings.
  • Lead the planning efforts and logistics for MARCQI state-wide Collaborative-wide Meetings (three meetings per year with one held virtual via Zoom meeting and two held in-person) for 200+ attendees.
  • Make travel arrangements and complete travel expense reports and other various reimbursement requests for MARCQI Coordinating Center team members and any outside speakers
  • Maintain MARCQI contact lists, MARCQI website access, MARCQI database support, and prepare slides, posters, and handouts for presentations using graphic software.
  • Oversee financial functions of the collaborative such as the preparation, reconciliation, and processing of expense reports and other reimbursements, estimating yearly encumbrances, vendor contracting, managing purchase orders and billing, and budget reconciliation. Other duties will include, but not be limited to, procurement of goods/services using M-Pathways, reconciling P-card statements, etc.
  • Prepare and edit presentations/dashboards that include charts and graphs to produce a professional product.
  • Prepare vendor contracts, including managing room and meal reservations, and coordinating audiovisual equipment use
  • Answer emails/telephone calls, draft routine correspondence, manage calendars, order office supplies, prepare administrative and financial paperwork, and assist with special events/projects as needed.
  • Main point of communication with external facing tools (e.g., social media, website management/design)
  • Ensuring alignment with MARCQI style guide principles and updating or creating figures/images/designs as needed
  • Identify issues preventing program participants from accessing resources or MARCQI database and navigating potential strategies to resolve the challenges
  • Manage Continuing Medical Education (CME) applications and reporting
  • Create and maintain documentation of procedures/processes.
  • Attending all collaborative-wide meetings, executive committee, and work group meetings as assigned
  • Support the data abstractor educational phone calls
  • Completing other assigned projects, as needed.

Bachelor's degree or 5 or more years of progressive administrative experience.

Proven ability to effectively prioritize, multitask, and adapt as priorities shift.

Strong organizational skills and high attention to detail, with the ability to work independently and as part of an integrated team with the ability to effectively manage multiple relationships and priorities

Excellent interpersonal and communication skills (both written and oral).

Proficiency in Microsoft Office Suite (e.g. Outlook, Word, Excel, PowerPoint, Teams), Google Suites (e.g. Docs, Sheets, Drive), DropBox, Asana.com, Adobe (e.g., Acrobat, InDesign/Illustrator), and Zoom.

Demonstrated problem solving skills.

Ability to work efficiently and independently with minimal supervision and maximum collaboration in a team environment.

Ability to plan, organize and assist in directing the activities of others. Knowledge of University policies, procedures, and regulations.

Individual must be able to be in the office in Ann Arbor, Michigan and travel to meetings and participating locations across the state throughout the year.

Bachelor's degree and 5 or more years of progressive administrative experience

Ability to make complex travel and conference/event arrangements.

Prior experience within the University of Michigan and familiarity with their systems, policies, and procedures.

Previous experience in a healthcare-related setting.

This is a hybrid position (at least 3-4 days in the office weekly). New employees can expect to be asked to come into the office with more frequency (4-5 days a week) for the first 6-12 months
