Job Summary

The Department of Pathology Division of Medical Laboratory Sciences has an immediate opening for an Office Administrator to coordinate all aspects of the daily office environment. This includes, but is not limited to, office reception, office maintenance, ordering office supplies and other duties to ensure the office operates smoothly and efficiently.

Works closely with management on coordination of Division programs and engagement initiatives, including planning and logistics. Coordinates and schedules internal/external meetings on behalf of leaders. May be responsible for managing office budget and purchasing. May perform other duties, including accounting support and various “back office” functions.

Responsibilities

Office Administrator II | Job Code P22722 | Job Level P2 | Grade P11Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment. Requires a bachelor's degree (or equivalency) + 4 years of directly related work experience.

KEY RESPONSIBILITIES

  1. Processes financial transactions including purchasing, travel, and reimbursements.
  2. Supports faculty and administrative leadership in the Medical Laboratory Sciences Division.
  3. Assists in the execution of special events.
  4. Provides comprehensive logistical and administrative support for Division activities.
  5. Other duties as assigned.

Work Environment and Level of Frequency Nearly continuously: Office environment.

Physical Requirements and Level of FrequencyNearly Continuously: Sitting, hearing, listening, talking.Often: Repetitive hand motion (such as typing), walking.Seldom: Bending, reaching overhead.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Office Administrator, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.

  • Strong organizational skills to manage multiple activities and meet established deadlines.
  • Excellent written and verbal communication.
  • Skilled at working in a team environment as well as independently.
  • Ability to anticipate needs and resolve challenges quickly.
  • Accuracy in scheduling and documentation.
  • Professional and responsive demeanor when interacting with faculty, staff, and students.
