Summary of Position

The Office and Data Manager is a pivotal member of the Workforce Services department, responsible for overseeing daily administrative functions and ensuring operational continuity across systems and services. This role ensures professional, timely, and responsive service to staff, students, instructors, and external partners. The Office and Data Manager manages front desk operations, procurement, and travel coordination, while also maintaining data integrity across platforms such as CampusCE, Banner, and HubSpot. This position supports both the routine and strategic functions of the department through detailed reporting, communication management, and program coordination. Serving as the central hub for internal processes, the manager plays a key role in supporting departmental leadership, facilitating events and training, and sustaining a high standard of service excellence. This role requires exceptional organization, attention to detail, and a collaborative mindset to support a dynamic, equity-driven learning environment.

Qualifications

Required Knowledge, Skills & Abilities

  • Knowledge of community college operations, procedures, auxiliary funding, and non-credit programming.
  • Knowledge of state purchasing rules and procedures.
  • Skill in organizing, delivering, and interpreting large data sets in Excel/MS Teams.
  • Strong organizational and communication skills
  • Demonstrated ability to manage multiple tasks and meet deadlines.
  • Proficient skill with administrative, data and registration tools like Microsoft Office, MS Teams, Banner, ChatGPT, and CampusCE (websites).
  • Ability to communicate clearly, manage multiple priorities, and provide strong customer service.

Required Qualifications

  • Associate degree in business, office administration, data management, or a related field (or equivalent combination of education and experience).
  • Three years' relevant experience. Relevant, post-secondary education will substitute for the required experience on a year-for-year basis.
  • Experience working with diverse populations and commitment to excellent customer service.

Preferred Qualifications

  • Master's degree in business, Education, Public Administration or related field
  • 5 years of experience working with college students, either as faculty, advisor, mentor, or similar role in a similar administrative or operational capacity.
  • Experience with business ownership or running entrepreneurial ventures
  • Demonstrated commitment working with and supporting students from diverse populations, which may include but are not limited to, historically marginalized populations such as people of color, LGBTQ+ community members, veterans, first generation graduates, and people with disabilities.

Physical & Cognitive Demands

The following are some of the physical and cognitive demands commonly associated with this position.

  • Occasionally moves, positions, and transports files and office materials weighing up to 10 lbs.
  • This is largely a sedentary role. This position operates in an office environment and constantly uses a computer, and routinely uses standard office equipment including phones, copiers, etc.
  • The person in this position constantly communicates with internal and external constituents and students. Must be able to exchange accurate information in these situations.
  • Cognitive demands include comparing, copying, computing, compiling, analyzing, coordinating, synthesizing, negotiating, communicating, instructing, and interpersonal skills.

Starting Salary Starting salary range for this position is $48,561 to $53,136 annually, commensurate with education and experience. This is a full-time, FLSA-exempt position. This position has been exempted from the State Classified System.
