Office Coordinator
Job Summary
Work closely with the Business Operations Manager and the Dean to provide HR support for the College of Education and Human Development.
Responsibilities
The duties include, but are not limited to:
COORDINATOR FOR HR ADMINISTRATIVE SUPPORT:
- Organize search committee training.
- Serve as Search Coordinator for Recruitment.
- Maintain confidential employee files and records.
- Managing promotion and tenure document control.
- Attend monthly meetings with the Office of Faculty Affairs and weekly with the AU HR Business Partner Team.
- Manage document control processes for evaluations and upload to Faculty Affairs and HR annually.
- Create full-time faculty offer letters for new hires.
- Provide support to department admin with offer letters for part-time faculty and renewal offer letters each semester that they teach for the College.
- Create and process position classification forms for classified staff positions and faculty position description forms.
- Maintain the OneUSG system with changes to position descriptions, titles, effort, and salary.
- Create Job postings and submit them to HR Business Partner or HR Faculty Support Services for approval.
- Create and process memos for salary changes, extra duty pay, and course overload payments.
- Submit electronic personnel action requests in OneUSG as required (Supplemental Pays, Summer Pay, Ad Hoc Salary Changes, Add/Change Transactions, Smart Hires, Terminations, and Transfers)
- Research and prepare data for reporting purposed and providing HR support to the COEHD Leadership Team as questions or issues may arise.
HR FINANCIAL ADMINISTRATIVE MANAGEMENT SUPPORT:
- Create and process memos for salary changes, extra duty pay, and course overload payments.
- Submit electronic personnel action requests in OneUSG as required (Supplemental Pays, Summer Pay, Ad Hoc Salary Changes, Add/Change Transactions, Smart Hires, Terminations, and Transfers).
OTHER DUTIES:
Perform all other job-related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university with a minimum of six years of progressively responsible office support experience.
OR
High School Diploma, GED or equivalent from a recognized state or federal accredited organization required, with a minimum of nine years of progressively responsible office support experience.
Preferred Qualifications
Bachelor's degree from an accredited college or university.
Preferred Experience
- Proven experience in a relevant human resources/administrative position
- Experience with the OneUSG systems
Knowledge, Skills, & Abilities
KNOWLEDGE
- Excellent customer service, interpersonal, organizational, and verbal/written communication skills.
- Proficient in Microsoft Office and other computer software/databases.
SKILLS
Detail-oriented with strong time management, critical thinking, professionalism, and multi-task skills.
ABILITIES
- Ability to maintain confidentiality.
- Ability to work in a fast-paced environment.
- Ability to exercise good judgment and work independently.
Conditions of Employment
All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
If applicable for the specific position based on the duties: the candidate will also need to have a credit check completed for Positions of Trust and or approved departmental Purchase Card usage.
Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.
For Faculty Hires: Final candidates will be required to provide proof of completed academic degree(s) as well as post-secondary coursework in the form of original transcript(s). Those candidates trained by a foreign institution will also be required to provide an educational/credential evaluation.
