Hours:
Standard University business hours
8:30am - 5:00pm (academic year)
8:00am - 4:30pm (summer)
Hours may vary based on operational needs.

Job Description:

Report directly to the Senior Associate Athletic Director, Football Operations and under his direction serve as the first public contact for the football program. Triage all visitors and phone calls, meeting their needs by directing them to specific areas or individuals within the department. Provide administrative (clerical/technical) support for the Football Operations group and maintain an efficient and smooth day to day workflow of information, communication and services within the Athletics Department. This position will work directly with the coaching staff to complete all necessary business-related items including credit card reconsolidations and reimbursements.
Occasional evening and weekend hours are required.

Education and Experience:

  • Bachelors degree or equivalent combination of education and experience plus 2-3 years office experience preferable in an athletic setting preferred.
  • Strong computer skills required.

Skills and Knowledge:

  • Proficient telephone and customer service skills.
  • Excellent interpersonal skills.
  • Proficient with Microsoft Office.

Responsibilities:

  • Answer incoming calls and in-person inquiries from a diverse group of constituencies in a fast-pace and high-traffic office.
  • Channel inquires to the appropriate office/person.
  • High volume telephone responsiveness to potential and current students, general public, media, faculty and staff.
  • Oversee the distribution of incoming mail.
  • Process interdepartmental orders and prepare requisitions and deposits.
  • Greet visitors to the Manley Football complex.
  • Serve as the gatekeeper to the football program.
  • Directing visitors to individuals within the program when appropriate.
  • Triage all requests and handle all inquiries in a professional manner, using tact and diplomacy when necessary.
  • Provide administrative support to the Football Operations.
  • Duties include but not limited to reconciling credit cards, cash advances for team travel and recruiting, payment of various bills, arrangement of flights/hotels accommodations for prospective student-athletes.
  • Provide administrative support to the assistant coaches.
  • Coordinate any logistical needs they have, which would include but not limited to making travel arrangements, hotel reservations, scheduling appointments and reconciling travel expense reimbursements.
  • Other duties and special projects as assigned.
