Description
The Office Professional is a vital, student- and public-facing role within the University Police Department. Serving as the primary point of contact for Access Control operations, this position requires a balance of excellent customer service, financial and data management, and technical proficiency. They will manage access control accounts, oversee student staff (Safe Team), and resolve customer concerns for a diverse campus community. Additionally, this role serves as a cross-trained backup for Parking operations.
Examples of Duties
Customer Service & Front Office Operations (35%)
- Act as the primary receptionist for the access control office, greeting customers and assisting a diverse population of students, faculty, staff, and visitors.
- Respond to inquiries, concerns, and complaints via phone, email, and in-person, providing appropriate and empathetic resolutions.
- Monitor for compliance with the university access control and key procedure policy.
- Communicate updates via monthly whiteboard announcements, campus-wide distribution, website updates and routine correspondence.
- Assist with management of work orders.
- Assist with audit of electronic and physical key access as needed.
Student Staff Leadership and Training (15%)
- Assist with leadership, interview, hire, and train student workers/Safe Team employees assigned to the office (including completing background checks and credentialing).
- Develop, maintain, and oversee student worker schedules in coordination with the Safe Team supervisor.
- Assist in developing and implementing office procedures to foster a productive, welcoming work environment.
- Maintain familiarity with all field operations to ensure accurate training.
Financial Processing & Data Administration (15%)
- Assist with entry of data into systems for ordering and reimbursement.
- Monitor work orders, billing, and systems to report to the manager as needed.
- Ensure accurate data entry into the access systems.
- Remain knowledgeable of changes in technology and be familiar with program capabilities.
Access Control Technology & Systems Management (15%)
- Maintain familiarity with Access Control Software. Be able to use the software and to produce reports as requested.
- Monitor for overdue and missing keys.
- Ensure work orders have been completed.
- Enter schedule changes for electronic access.
- Manage work orders in the system and report to the manager.
Parking Services Backup & Departmental Support (20%)
- Cross-Training: Maintain active training in Parking Services operations to serve as the primary backup for the Parking Services Office Professional.
- Compile and present access data, as well as recommendations for policy or decorum alterations based on user feedback, to the Public Safety Director.
- Assist with designing website layouts, handouts, and office calendars aligned with the university academic calendar.
- Attend Access Control meetings other meetings as required.
- Maintain and order access control/office supplies.
- Assist with field operations when requested.
Typical Qualifications
Education:
High School Diploma or Equivalent
Experience:
One (1) year clerical, receptionist, customer service or related experience required.

- Exposure to loud noises, Lifting (weight) - 25lbs
- Exposure to dust
Must complete a Computer Voice Stress Analysis (CVSA).
Must complete a police background and Criminal Justice Information Services (CJIS) clearance.
