Departmental Overview
University Development and Alumni Relations (UDAR) strengthens Berkeley's excellence through engagement with alumni, parents, undergraduate and graduate students, and friends of the University, raising public awareness about Berkeley and increasing private philanthropy. UDAR provides overall direction for the campus philanthropic advancement strategies and works to strengthen unit development in partnership with campus fundraisers. The Division handles a range of central activities and services encompassing communications, stewardship, prospect development, data management, gift management, reporting and analytics, and more.
Financial Planning & Analysis
Financial Planning & Analysis (FP&A) manages UDAR's divisional budget, oversees departmental accounting, and prepares financial analyses for divisional units. The team monitors fundraising costs, develops recharge rates, and supports the allocation of fundraising resources across campus. We oversee UDAR's facilities and provide administrative support for our staff and students.
Operations
The Operations team supports the Division by ensuring a safe, accessible, and welcoming environment. We greet visitors to UDAR, manage mail and package services, maintain office and conference rooms, and coordinate meetings as needed. Our responsibilities include overseeing building access, room and furniture management, telecommunications, and supporting procurement and travel processes. We manage office moves, serve as the primary liaison with the building manager, and maintain seating plans, phone rosters, and emergency evacuation maps. Through responsive service and operational excellence, we help ensure UDAR staff, students, and guests experience an efficient and mission‑aligned workplace.
The Operations Manager reports to the Senior Director of FP&A and independently oversees UDAR's daily facilities and operational functions. Key areas include facilities and space planning, access control, telecommunications, safety procedures, and front‑desk operations. The role supports divisional facilities strategy, manages operational resources, and coordinates procurement for equipment and other purchasing needs. Ensures a safe, efficient work environment that supports UDAR's fundraising mission.

Responsibilities
Divisional Facilities Operations Planning and Process Innovation:
- Coordinates facilities maintenance, equipment repairs, and work order tracking with UDAR staff, managers and vendors.
- Manages UDAR space planning, office moves, and workspace utilization.
- Serves as primary liaison with vendors and building management.
- Administers safety, security, and access control procedures.
- Supports UDAR's facilities-related projects and improvement initiatives.
Onsite Operations & Staff Supervision:
- Oversees UDAR's front desk operations and reception services. Supervises Reception Coordinator.
- Oversees conference rooms, telecommunications, mail services, and general operational support.
Procurement Support:
- Supports UDAR with administrative tasks, including computer peripherals and ergonomic equipment for both on-site and home-office use, and other procurement activities.
Other Additional Job Duties as Assigned:
- Meet UDAR's Advancement Operations needs according to projects or duties, such as working one commencement or homecoming shift annually.
Required Qualifications
- Minimum of two years of experience demonstrating knowledge of facilities operations, building systems, safety/security practices, and space planning.
- Minimum of two years of experience applying strong organizational, problem‑solving, and project‑management skills to coordinate space, equipment, and operational tasks.
- Demonstrates effective communication and customer‑service skills for interacting with staff, vendors, and other constituents.
- Ability to interpret and apply university policies, procurement guidelines, and compliance procedures.
- Ability to manage vendors, coordinate projects, and resolve facilities issues efficiently.
- Proficiency with office software and administrative processes, including purchasing and expense reporting.
- Ability to use discretion and maintain confidentiality.
- Experience supervising staff.
Education Level
Bachelor's degree in related area and / or equivalent experience / training
