Pacific AETC-Hawai'i & US-Affiliated Pacific Islands Program Coordinator
Please note: this will be a fully remote position based in Honolulu; duration through June 30, 2026. Will include optional medical benefits, holiday pay and sick leave accrual.
The Program Coordinator provides essential administrative, logistical, and programmatic support for the Pacific AIDS Education & Training Center's (PAETC) regional efforts in the Hawaiian Islands and Pacific Island Jurisdictions (HIAPI). Working remotely from Honolulu, the coordinator will play a key role in supporting regional training and capacity-building initiatives designed to strengthen the HIV care workforce across diverse island communities.
The position requires exceptional organization, communication, and cultural responsiveness, as well as the ability to collaborate effectively across multiple time zones and with diverse stakeholders throughout the Pacific region, including Hawai'i, Guam, American Samoa, the Commonwealth of the Northern Mariana Islands, and the Republic of Palau.
Key Responsibilities
Program Coordination and Support
- Coordinate planning, scheduling, and logistics for PAETC-HIAPI virtual and in-person trainings, conferences, and regional meetings across time zones.
- Provide administrative and operational support to the Regional Associate Director and local trainers, including managing meeting materials, agendas, notes, and follow-up actions.
- Maintain accurate program calendars and event timelines; ensure alignment with grant deliverables and reporting deadlines.
- Develop and maintain systems for tracking participant engagement, training data, and evaluation outcomes.
Training & Event Logistics
- Coordinate technical logistics for online sessions (Zoom, Adobe Connect, or similar platforms) and hybrid events.
- Support on-site trainings and conferences, including venue coordination, travel arrangements, supply procurement, and post-event reconciliation.
- Manage travel and reimbursement documents in accordance with UCSF and HRSA policies.
Program Communications & Materials
- Assist in developing and disseminating training materials, newsletters, and other communications for regional partners.
- Support website and social media content updates in coordination with the central PAETC communications team.
- Contribute to literature reviews, peer-review coordination, and conference abstract or poster preparation.
Data, Evaluation, and Reporting
- Assist with collection, management, and analysis of training and evaluation data (e.g., CHAMP data system).
- Support preparation of quarterly and annual reports summarizing HIAPI activities and outcomes.
- Ensure data integrity and timely submission of required documentation to the regional and national PAETC network.
Collaboration and Regional Engagement
- Build and maintain relationships with regional health departments, clinical partners, and community-based organizations.
- Coordinate cross-site communications among Pacific Island partners to facilitate knowledge sharing and joint initiatives.
- Participate in regular meetings with the broader PAETC network and contribute to collaborative projects and initiatives.
Other Duties as Assigned
- Provide flexible coverage and support for other PAETC regional and national initiatives as needed.
- Contribute to ongoing quality improvement efforts and internal team development.
