Description
1. Serve as the Program Assistant under the administrative guidance of the Senior Program Manager at the Highway Safety Instructional Park, to include:
- Providing administrative support for the Missouri Motorcycle Safety Program
- Providing administrative support for the staff of the Impaired Driving Countermeasures grant, the Ignition Interlock Device Program grant, the Drug Impaired Driving Program Grant, the Driver Improvement Program Grant, Driving Program Grants, and other grants as received
- Providing administrative support for the Transportation Safety Program and to other MSC non-grant funded personnel and programs as needed
Examples of Duties
Providing administrative support for the Missouri Motorcycle Safety Program: - 60%
- Assist staff with preparation of documents and curriculum changes
- Take minutes at program meetings and distribute
- Assist with creation of promotional/operational items including process manuals, program brochures, handbooks, and P&P manuals
- Track and monitor temp employee assignments and workload
- Maintain MMSP equipment inventory
- Monitor the MMSP’s web site, social media pages and email address
- Prepare weekly, monthly, quarterly and/or annual activity reports
- Refer customers to the appropriate staff or MMSP Sponsor
- Maintain regular correspondence with sponsor sites, instructors, and others as needed Other support as needed

Provide administrative support for the staff of the Ignition Interlock Device Program grant and its activities, to include: - 5%
- Scheduling activities
- Track classes and prepare all materials and rosters to be sent to appropriate instructors
- Assist staff with correspondence, rosters, training materials, handouts, etc.

Provide administrative support for the staff of the Drug Impaired Driving Program grant and its activities, to include: - 5%
- Scheduling activities
- Track classes and prepare all materials and rosters to be sent to appropriate instructors
- Assist staff with correspondence, rosters, training materials, handouts, etc.
- Other support as needed
Provide administrative support to the state Driver Improvement Program (DIP) Manager and its activities, to include: - 5%
- Answer all incoming phones calls for DIP
- Answer questions, direct callers on how to complete the program or route calls to program manager
- Ensure all DIP providers (permanent sites and online) receive site approval certificates annually
- Other support as needed
Serve as the MSC Office Manager for the HSIP and provide support for the Senior Program Manager, to include: - 7%
- Assist staff with correspondence, rosters, training materials, handouts, etc.
- Assist with preparation of internal and external review documents and curriculum changes
- Monitor and assist with special projects
- Assist the Highway Safety Instructional Park ( HSIP ) Building Manager as needed and serve in that capacity when the Building Manager is absent, to include but not limited to:
- Submitting work orders, monitor progress of work orders, and determine if work is complete
- Assist the HSIP staff in the performance and completion of administrative, academic or any Center or University-related assignments, duties, and responsibilities
- Assist in coordinating events held at the HSIP
- Maintain HSIP files as needed
- Assist students/customers who request information or wish to enroll in MSC courses
- Maintain electronic calendars and monitor deadlines for HSIP programs
- Maintain HSIP equipment and furniture inventory. Conduct the annual inventory in conjunction with the Purchasing Office
- Maintain and coordinate the repair of HSIP office and teaching equipment
- Assist Senior Program Manager with Fleet vehicle mileage logs
- Order, track and disperse supplies and materials needed for programs
- Other support as needed
Function as a Customer Relations Specialist, to include: - 3%
- Providing information about the Missouri Safety Center including the Central Missouri Police Academy and the Missouri Motorcycle Safety Program;
- Advise potential class participants of enrollment procedures;
- Maintain and update MSC course pages on website and Constant Contact registration pages
- Coordinate with Senior Program Manager for updates to social media and community news outlets
- Monitors, replies, or routes all emails received on the MSC email account
Provide additional administrative support to other MSC personnel and programs under the guidance of the POST Administrator: - 5%
- Responsible for updating MSC Peace Officer Standards and Training (P.O.S.T.) database with all law enforcement training conducted through MSC
- Responsible for updating Missouri’s Continuing Law Enforcement Education (CLEE) database with all law enforcement training conducted through MSC
Provide administrative support to the Senior Director of the Missouri Safety Center as needed - 5%
Typical Qualifications
Education:
- High school diploma or equivalent
- Associate’s degree in Office administration, Business or related field is preferred.
- Education may be substituted for experience or if experience may be substituted for education. Note that equivalencies are based on the following: AA = 2 years’ experience; BA/BS = 4 years’ experience; MA/MS = 6 years’ experience; PhD = 8 years’ experience.
Experience:
- Two (2) years administrative support required.
- General understanding and background in safety preferred.
- Experience with computer databases preferred.
- Experience with webpage management & social media preferred.
