Program Coordinator I - Down Syndrome Program

Position Summary

The Down Syndrome Program in the Division of Developmental Medicine is one of the oldest and largest of its kind in the country. Our program offers comprehensive care for young children, adolescents, and young adults with Down syndrome from birth until they reach age 22.

The Program Coordinator is responsible for the comprehensive coordination of clinical and administrative operations within a multidisciplinary pediatric specialty clinic and affiliated employment support program. The Program Coordinator manages patient intake processes, scheduling, data tracking, clinic logistics, and interpreter coordination. This role serves as the primary liaison between families, providers, and staff, ensuring efficient workflows, accurate documentation, and high-quality patient and family experiences.

Key Responsibilities:

  1. Manage new patient intake and scheduling processes, including family outreach, explanation of program procedures, collection of required documentation, and database entry. Track and follow up on outstanding records and incomplete intakes.
  2. Oversee pre-clinic preparation and provide operational support during clinic sessions. Coordinate translation of clinical notes, track clinic utilization and patient information, and assist with transportation coordination for patients and families when necessary.
  3. Maintain accurate and up-to-date data and ensure appropriate documentation across scheduling systems and databases. Conduct post-clinic documentation review and database updates to ensure accuracy and completeness.
  4. Track distribution of program resources and maintain inventory; prepare and submit supply orders as needed.
  5. Contribute to program communications, including social media updates, public-facing materials, and outreach to community support services for patients and families.
  6. Develop and maintain weekly task schedules for employment program staff. Communicate materials for team meetings, administrative huddles, and quarterly performance reviews. Communicate operational updates and program needs to leadership and team members.
  7. Support outreach initiatives, conferences, workshops, and program-related events. Process travel reimbursements and manage documentation for program-related expenses.

Minimum Qualifications

Education:

  1. Associates degree or equivalent experience
  2. Bachelor's degree preferred

Experience:

  1. 1 year of related work experience
  2. Demonstrated ability to work collaboratively in a multidisciplinary environment.
  3. Cultural competence and sensitivity when working with diverse families and populations.
  4. High level of discretion and ability to maintain confidentiality.
