Position Details

The Office of Academic Innovation (OAI) at the City University of New York (CUNY) supports and advances teaching and learning across the University by providing leadership, resources, and strategic guidance on academic technology and innovation. As part of the Office of Academic Affairs (OAA), OAI collaborates with CUNY’s colleges to scale effective practices, manage system-wide academic technology initiatives, and explore emerging tools and pedagogies that promote student success, equity, and institutional excellence. OAI consists of three groups: CUNY Online, Office of Academic Technology, and Office of Artificial Intelligence.

Reporting to the Director of Academic Technology Projects, the Project Coordinator provides detail-oriented administrative and logistical support to ensure that office projects are delivered on time and day-to-day operations run smoothly. The role supports multiple projects, helps maintain organized workflows, and facilitates clear communication among team members and stakeholders.

In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:

  • Assist with developing project plans, schedules, and timelines.
  • Help define project scope, objectives, and deliverables.
  • Assist with day-to-day coordination of multiple projects across academic technology and student-facing systems.
  • Maintain and update project trackers, timelines, and documentation in collaboration with project managers.
  • Schedule, organize, and help facilitate meetings, preparing and distributing action items and follow-ups.
  • Serve as a point of contact between project team members, stakeholders, and external partners.
  • Help prepare reports, presentations, and status updates for internal and external stakeholders.
  • Monitor project risks and issues, escalating as needed to department leadership.
  • Track completion of deliverables and help ensure alignment with project scope and timelines.
  • Maintain shared workspaces (e.g., MS Teams, SharePoint) and support file organization across initiatives.
  • Assist with tracking project budgets and expenses.
  • Perform other related duties as assigned.

Notes: Until further notice, this position is eligible for a hybrid work schedule.

Qualifications

Minimum: Bachelor’s degree required.

Preferred:

  • Experience supporting project management activities.
  • Previous administrative, analytical, or operational work experience.
  • Familiarity with higher education academic and administrative processes and systems, CUNY experience highly preferred.
  • Strong attention to details, analytical, critical thinking, problem solving, research and organizational skills while performing assignments with accuracy.
  • Effective writing, editing, proofreading, and presentation abilities.
  • Proactive, adaptable, and customer-focused, with strong interpersonal skills to effectively communicate with diverse stakeholders.
  • Strong organizational and follow-through skills to coordinate work plans, prioritize work, manage multiple assignments and priorities and meet deadlines.
  • Strong work ethic with a high level of personal integrity to maintain discretion and confidentiality with professionalism at all times.

CUNY Title Overview

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
  • May supervise office staff and student workers.
  • Performs related duties as assigned.

Compensation and Benefits

The salary range is $61,020 - $79,706 commensurate with credentials, education, and experience.
