Job Description
Montgomery College, Rockville Campus, has an immediate need for a full-time Records & Registration Specialist for Admission Services. The work schedule is Monday – Friday, 8:30 am – 5:00 pm. This is a non-bargaining, non-exempt, grade 23 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Under moderate supervision and/or direction, provides information and guidance to prospective, current, and former students and the Montgomery College community regarding records and registration functions. With an overall knowledge and understanding of enrollment processes and procedures, the Records and Registration Specialist will provide guidance on, and process information related to student records, registration, residency, tuition waivers, the Maryland Dream Act, appeals, federal and state regulations, transcripts, and policies and procedures. Service is provided through in-person front counter service, phone, video conferencing, and email conversations to students and the general public.
Duties include, but are not limited to:
- Serve as a point of contact and service provider for students and the MC community seeking information and guidance on various records and registration processes.
- Process enrollment verifications, outgoing transcripts, disability for tuition waiver forms, student information changes, reactivations, major changes, and residency requests, grade changes, academic standing updates, and maintain related files. Receive all grade changes and accurately maintain a student's grade history.
- Process credit class registrations and withdrawals for students and faculty in accordance with college policies and procedures, making decisions on all requests for waivers and determining the validity of special permissions granted by other offices, or making independent decisions when appropriate. Explain tuition and fee costs and determine waiver of standard procedures for the fee.
- Interpret and release information from student academic records in accordance with college policies and procedures, state and federal laws, and FERPA.
- Coordinate, review and approve or deny appeal requests on student involuntary withdrawals, tuition refund appeals, and in-country/state tuition appeals.
- Analyze and approve applications for the Maryland Dream Act in accordance with MHEC guidelines.
- Verify and approve applications for HB 104, Tuition Waiver for Disabled Students. Inform eligible students of processes.
- Administer and interpret academic and residential regulations in accordance with established federal, state and institutional policies and procedures.
- Coordinate, review and approve or deny student residency requests. Determine appropriate exceptions.
- Audit eligibility certifications for all student athletes, College-wide.
- Other duties as assigned.
Required Qualifications:
- Associate degree.
- Two years of experience working in admissions, registration or enrollment office at a college or university, that may include direct experience approving appeals, processing tuition waivers, and analyzing academic transcripts. The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
- Thorough knowledge of federal and state applicable laws and regulations, College policies and procedures, academic regulations, government-sponsored education benefits and scholarships, in-country or state tuition for undocumented individuals, immigration statuses and visa codes, academic, residential, and tuition policy regulations, and tuition waivers.
- Specialized knowledge of the Maryland Dream Act, FERPA, and Tuition Waiver for Disabled Students.
- Proficiency in using a personal computer and software applications including Microsoft Office Suite. Knowledge of using student information systems beneficial. Ability to effectively communicate and exchange information with other employees and the public.
- Skill in verbal and written communication, interpersonal relationships, organization, entering data correctly, making simple calculations, proofreading; creativity for developing user-friendly print and Web-based publications.
- Ability to work with a diverse population; to be attentive to detail; and to problem solve.
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
Hiring Range: $26.19 – $34.04 per hour. Initial salary placement for new hires falls between the minimum and midpoint of the range and is based on relevant candidate experience and internal equity. The maximum salary for this position is $41.89 per hour.
