Position Highlights
The Arizona Transportation Institute (AZTI), a statewide research consortium jointly established by the University of Arizona, Arizona State University, Northern Arizona University, and Arizona Department of Transportation is seeking applicants for a Research Program Coordinator position. The role supports AZTI's transportation research, outreach, and project coordination across multiple institutions, with responsibilities including program operations, program marketing, project-level coordination, report and material preparation, and communication with faculty, researchers, ADOT, local jurisdictions, and university stakeholders. The coordinator will also organize events and meetings, track project timelines, develop outreach content, and help ensure compliance with sponsor and university requirements while operating with moderate autonomy.

Duties & Responsibilities
Program & Event Coordination
- Assist in the planning, organizing, and execution of research programs and events, to ensure smooth operation and adherence to timelines and AZTI's objectives. (e.g., events such as the annual Arizona Research Summit, stakeholder meetings, workshops, and program outreach activities).
- Prepare and update program communication materials (e.g. program marketing materials, brochures, program outreach materials, web content, social media posts) in collaboration with internal communications staff and IT/Database support.
- Maintain relationships with internal and external contacts, support promotion of AZTI initiatives, and respond to information requests in a timely and professional manner.
- Help maintain a consistent and effective communication presence across multiple platforms to promote AZTI programs and research activities.
Project Coordination / Project Management
- Coordinate day-to-day project activities, timelines, deliverables, and communication across multiple research projects.
- Assist with developing project plans, tracking milestones, maintaining documentation, and preparing quarterly/annual reports for internal and external stakeholders.
- Support program leadership by monitoring progress and helping resolve routine project related issues to maintain compliance with university and sponsor expectations.
- Serve as a contact for faculty/researchers, ADOT project staff, and university partners to exchange information, maintain documentation, and ensure smooth project workflows.
- Compile and analyze project related data, draft administrative and technical materials, and assist with developing research protocols or documentation as needed.
Staff Development & Operational Excellence
- Contribute to improving program processes, operational workflows, documentation standards, and overall quality of project and outreach operations.
- Assist in developing and updating internal procedures, organizational materials, or program resources to support continuous improvement.
- Help mentor student workers or support staff by sharing knowledge, tools, and best practices.
Knowledge, Skills, and Abilities:
- Strong written and verbal communication skills, with excellent grammar, detail orientation, and ability to tailor communication to various audiences.
- Excellent organizational and multitasking skills, with the ability to manage competing priorities and meet deadlines.
- Ability to work collaboratively with faculty, staff, and stakeholders across institutions.
- Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Skilled in design tools such as Canva, MailChimp, and similar tools.
- Ability to gather, analyze, and summarize information and contribute to technical and administrative reports.
- Ability to work both independently and as part of a collaborative team.
- Ability to adapt to evolving program needs and contribute to continuous operational improvement.
- Skilled in proactive problem-solving with high attention to detail.
- Ability to be professional, discreet, and effective at building relationships.

Minimum Qualifications
- Minimum of three (3) years of relevant work experience, or equivalent combination of education and work experience.
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Must possess and maintain a valid driver's license and ability to drive according to the University Fleet Safety Policy.
Preferred Qualifications
- Project coordination and Management.
- Experience organizing events or multi-stakeholder meetings.
