Resident Services Coordinator (On-site)
About the Job
Reporting to the Director of Housing Services, the Resident Services Coordinator has primary responsibility for the daily operational business activities of Housing & Residence Education (HRE) service desks and residential mail. The Resident Services Coordinator supervises, hires, trains, and develops student employees who provide front-facing services to students, staff, faculty, and the general public.
KEY RESPONSIBILITIES
Residential Mail Management:
- Oversee and assist with all aspects of residential mail, package, and parcel delivery, including creating systems for mail and package processing, developing relationships with couriers, and managing the package locker system.
- Actively review and troubleshoot locker systems, create and resolve technical tickets with vendors, and monitor and replace necessary supplies.
- Implement University policies and ensure staff adhere to all federal, state, and USPS laws and regulations to mail and package handling.
Student Staff Supervision:
- Hire, supervise, and evaluate hourly student employees responsible for mail distribution and processing, lockouts and keys, answering housing questions through a variety of methods, and providing excellent service to the campus community.
- Conduct individual and team meetings on a regular basis to provide training, facilitate communication, and ensure service delivery meets department expectations.
- Manage student employee onboarding and offboarding, hiring paperwork, and payroll/timesheet processing.
Key and Access Management:
- Oversee residential key distribution, audits, and temporary key processes.
- Conduct regular audits of keys and resolve issues with the Auxiliary Facilities Services lock and access teams.
- Create, manage, and update electronic communications to residents regarding keys.
- Track and process lock change charges between Housing Services and Student Business Services.
- Document and train all Housing Services and Residence Education staff on key policies and processes as needed.
Event Coordination and Participation:
- In coordination with the Director of Housing Services, plans, coordinates, and executes cyclical campus housing operations events, including move-in, move-out, winter break housing, summer housing transition, and other occupancy events.
- In partnership with other staff in Housing Services and Residence Education, represents Housing Services and Residence Education departments at enrollment events, including Bobcat Day, off-site admissions events, webinars, and other events as needed.
General Administration:
- Attend departmental meetings and division meetings as required.
- Create and maintain up-to-date office files and records, manuals, and brochures.
- Assist in management of records retention and organization of the department's shared drive.
- Update and revise various forms, documents, manuals, and interdepartmental publications.
- Support residence hall opening and closing procedures, including student communication, supply inventory, and collaboration with colleagues in Housing Services and Residence Education.
Qualifications
EDUCATION and REQUIREMENTS
- Bachelor's degree in related area.
- 3 years of related experience or 7 years equivalent related experience/education if no degree.
CRITICAL KNOWLEDGE AND SKILLS
- Excellent oral and written communication skills, including skills in communicating processes and policies to diverse audiences.
- Advanced knowledge and skills in customer service.
- Skills in service orientation, active listening, critical thinking.
- Demonstrated experience in leading and/or supervising groups of people. (Preferred)
- Knowledge of University processes and procedures. (Preferred)
- Experience processing and/or distributing residential or organization mail services. (Preferred)
- Two years of experience in a customer service and/or office reception setting. (Preferred)
- Knowledge of common University-specific computer application programs. (Preferred)
- Proficient in MS Office software (Word, Excel, PowerPoint, Publisher, Outlook). (Preferred)
- Ability to work under pressure, prioritize deadlines, and juggle multiple responsibilities simultaneously. (Preferred)
- Multicultural competence: Ability to understand perspectives and experiences of multiple cultural and social identities. (Preferred)
- Demonstrated ability to maintain confidentiality of student and departmental information. (Preferred)
Hiring Range
The salary range the University reasonably expects to pay for this position is $71,500/yr - $86,100/yr.
