Job Description
Job Function:
This senior-level secretarial position provides comprehensive administrative support to the Chairperson of the Business Administration Department, which includes six full-time and over twenty adjunct faculty serving approximately 1,000 students. The role requires strong organization, communication, and computer skills, along with the ability to manage multiple priorities in a dynamic academic environment. The position reports directly to the Department Chairperson.
- Department administration and operations (40%) Provides high-level administrative support to the department chair and faculty, including scheduling meetings, preparing budgets and reports, managing purchasing and travel, maintaining department records and files, and coordinating department communications and events. Ensures compliance with college procedures and deadlines for workload, evaluations, and budgets.
- Student and faculty support (30%) Serves as the first point of contact for students and faculty regarding course registration, prerequisites, advising, and program requirements. Coordinates faculty assignments, onboarding, and timesheets; supports dual enrollment scheduling and workload tracking; maintains accurate course and faculty information in college systems.
- Professional correspondence and coordination (15%) Communicates regularly with departments such as Admissions, Advisement, and Academic Services on behalf of the chair and faculty. Prepares, edits, and proofreads professional correspondence, meeting materials, and departmental communications.
- Hiring and onboarding (10%) Coordinates hiring and orientation of new full-time and adjunct faculty. Tracks hiring requirements, assists with new employee setup, and supports payroll and HR documentation.
- Other administrative duties (5%) Supports departmental initiatives, faculty travel, and professional development activities; maintains department web and Teams sites; assists with scholarship and award documentation.

Requirements
Required Qualifications
MINIMUM QUALIFICATIONS: Must currently hold the Monroe County Civil Service title of Secretary I, or be on the current eligible list for this title, or meet the minimum requirements for a temporary/provisional appointment, if offered:
Graduation from high school or possession of an equivalency diploma, plus EITHER:
(A) Graduation with an Associate's degree, plus one (1) year paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
(B) Successful completion of at least thirty (30) college semester credit hours, plus two (2) years paid full-time, or its part-time equivalent experience as defined in (A) above; OR,
(C) Three (3) years paid full-time, or its part-time equivalent experience as defined in (A) above
Preferred Qualifications:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Hours: 8:45 am to 4:45 pm, Monday through Friday
Salary: $49,281.77-$63,349.81
Pay Transparency Disclaimer: The posted salary range represents the full salary scale for this position, which includes all pay steps within the range. The starting salary for all new hires is typically at the entry-level figure, as determined by the step placement of the Collective Bargaining Agreement. Progression through the range occurs over time based on established criteria such as length of service and performance. This range is provided to give applicants an understanding of the potential earnings over the course of a career in this role.
MCC offers a Flexible Work Policy for benefit-eligible employees. Types of flexible work arrangements include flextime/staggered shifts, remote work/telecommuting, and compressed work schedules. The availability of flexible work arrangements varies by division, department, and position, based upon business and operational needs. Limitations to flexible work arrangements are outlined in the official policy.

In limited circumstances, prompted by business or operational needs, the College may approve requests to work remotely outside of New York State, on a short-term, temporary basis.
