The Office of Research and Sponsored Programs (ORSP) provides support services for the faculty and staff of Southeast Missouri State University in their pursuit of external funding for research, creative, service, and other scholarly activity. ORSP assists with funding opportunity searches, proposal development, review, approval routing, submission, compliance, award negotiation, and non-financial post-award activity. The Senior Administrative Assistant reports to the ORSP director and plays a critical role in the day-to-day operations of the office. We are seeking an organized, ethical, responsible individual with excellent customer service skills and a desire to help faculty and staff secure external funding for their projects.

Primary Responsibilities:

  • Provide administrative support for the Director of Research and Sponsored Programs
  • Provide administrative support for the research integrity committees
  • Monitor department budget, enter purchase requisitions, process all operating expenditures, and budget transfers
  • Generate correspondence and reports using word processing, spreadsheet, and database software
  • Coordinate assembly of documentation, forms, and other items as required to submit external funding proposals
  • Deliver and/or pick up documents across campus and occasionally off campus
  • Collect, maintain, and retrieve complex data regarding external and internal funding, including grant proposals and awards
  • Maintain supplies inventory, ensure operation of equipment, place work orders for general maintenance of office space, and update department website
  • Provide technical assistance to faculty and staff who are preparing grant proposals for submission and secure proposal attachments and/or provide preliminary review of some proposal items.

Required Qualifications

  • High School diploma or GED
  • Valid driver's license and personal vehicle
  • Proficient knowledge of Microsoft Office Word and Excel
  • Excellent interpersonal, verbal, and written communication skills
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Strong organizational and time management skills
  • Ability to handle confidential information and materials in a professional manner
  • Demonstrated ability to work both independently with minimal supervision and as a team player
  • Evidence of accuracy in recording data and attention to detail
  • Demonstrated accounting skills and knowledge of budget management
  • Ability to work in a fast-paced environment and under deadline pressures
  • Demonstrated experience and understanding of customer service
