Senior Employment Coordinator

Job Details

Under the direction of the Director of Human Resources, the Senior Employment Coordinator provides high-level support to the Hood Community and Human Resources team; administers all employment lifecycle processes; composes and maintains confidential employee information, identifies and initiates process improvements for areas of responsibility; and assists with administrative tasks and logistics for HR-sponsored events for the department. The Senior Employment Coordinator multi-tasks well, has good decision-making skills about work priorities and delivers quality customer service to internal and external customers in a fast-paced work environment.

Essential Duties include the following. Other duties may be assigned.

Employment Lifecycle (60%)

  • Overall responsibility for employee experience throughout the employment life cycle.
  • Follows recruiting guidelines for approved job requisitions to post and advertise openings. Closes job requisitions/postings once filled.
  • Evaluates advertising sources against applicant data to determine cost-effective advertising sources to attract diverse, qualified candidate pools.
  • May consult with managers on job descriptions to ensure that HR has up-to-date information for job postings.
  • Owns HR onboarding responsibilities for new hires (faculty, staff and some students) including ensuring background checks are done, preparing and distributing staff offer letters, launching IT requests for new hire set up, administering the HRIS onboarding process, and completing employment verification form I-9.
  • Evaluates background checks results and consults with Director of HR on findings when necessary.
  • Conducts new employee orientation educating newly-hired employees on Hood’s culture and traditions, benefits and leave program, HR policies and procedures. May work with hiring managers to match Blazer Buddies with the new hires.
  • Works with new hires and outside counsel on employment visa process and with current employees on visa renewals when needed.
  • Oversees annual Affirmative Action Reporting requirements.
  • Owns employee separation process and responsible for administration of HRIS termination process. Collects and analyzes leaver feedback and develops actions when necessary.
  • Maintains HR employment records and filing system according to records retention standards and coordinates destruction of closed files according to HR protocol.

HRIS Administration (15%)

  • Performs mostly routine, established procedures for entering and maintaining data for new hires, active employees and separations for faculty, adjuncts, staff, students.
  • Reviews system updates for opportunities to enhance HRIS functionality mostly in Recruitment and Onboarding modules and makes recommendations to streamline processes and/or improve the employee experience.
  • May be required to trouble-shoot complex HRIS issues in Recruitment and Onboarding modules.
  • Ensures that all employee information in HRIS system is accurate.

Administrative and Customer Service (25%)

Must maintain a high degree of confidentiality.

  • Composes confidential correspondence and reports including salary and equity increase letters, sabbatical award letters, Henry P. and Page Laughlin Administrative Awards and other recognition letters, and other reports based on management requests.
  • Provides front-line quality customer service to the Hood community and visitors or callers to the Human Resources Department.
  • Researches and compiles employment metrics and benchmark data for HR initiatives as needed.
  • Responds to unemployment claims and appeals for faculty, staff and students. Represents the College at Unemployment Appeals Board hearings.
  • Assists with logistics for HR-sponsored programs, events, or conferences.
  • Processes invoices for Human Resources department.
  • Assists with requests from staff council and other colleagues as needed.
  • Work with Marketing and Communications on Employee Appreciation.

Supervisory Responsibilities

  • May supervise student workers.

Education and/or Experience

Minimum Requirements/Qualifications

  • Three to five years’ experience in Human Resources positions with automated HRIS systems;
  • Bachelor's degree (required) in Business, Management or HR (preferred);
  • Excellent time management skills and keen attention to details; and
  • Ability and interest to learn quickly and focus on continuous improvements, especially with organization-wide information systems, department-specific software applications and processes.

Preferred Skills and Characteristics

  • Work experience in higher education HR department is a plus.
  • Experience with UKG HRIS preferred.

Technology Skills

High proficiency in Microsoft Office Suite products (Outlook, Word, Excel, and PowerPoint) and internet. Ability to automate and streamline office functions. Ability to input data accurately.

Language Skills

Strong oral and written communication skills. Ability to effectively provide information and positively respond to questions from both external and internal customers both in person and by phone. Ability to write routine reports and correspondence.

Mathematical Skills

Proficient with statistical and financial concepts. Must have the ability to apply those concepts to tracking, projections, goal setting and interpreting reports. Must be able to draw conclusions from reports and make cost effective decisions regarding programs.

Reasoning Ability

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans. Ability to work in theoretical arena and apply logic as appropriate.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to stand; walk; use fingers, hands, reach with hands and arms; and talk and hear. The employee is required to sit. The employee may occasionally be required to stand and lift and move up to twenty-five pounds. Specific vision abilities required include close vision. Work Environment

The work environment described here is representative of what an employee will encounter while performing the essential functions of this job. The noise level is usually moderate, and could include interaction with other employees, students, the public, telephones, and other office equipment.

Compensation

This is a position with an annual starting salary range of $50,000 to $54,000 depending on circumstances including an applicant’s skills and qualifications, certain degrees and certifications, prior job experience, training, and other relevant factors. Hood College has provided a compensation range representing its good faith estimate of what the College may pay for the position at the time of posting. The College may ultimately pay more or less than the posted compensation range.
